Spirit Solar Ltd is a renewable energy company based in Reading. We install on-grid and off-grid solar PV, battery storage and EV charge point systems for residential and commercial buildings.
We are looking for a motivated and reliable Office Assistant to support the day-to-day sales team in our office. The successful candidate will play a key role in ensuring that administrative tasks are completed efficiently and that the office runs smoothly, allowing the rest of the team to focus on our core business activities.
The job role includes:
Answer and direct phone calls, emails, and other correspondence.
Assis the team with organising our CRM, sales pipelines, and leads.
Manage and organize office supplies, ensuring stock levels are maintained.
Prepare and process documents, contracts, and customer orders.
Assist in scheduling appointments, meetings, and site visits.
Provide general clerical support, including filing, photocopying, and data entry.
Assist in customer inquiries, offering initial support and directing complex queries to the relevant team member.
Maintain customer records in a systematic manner.
Ensure that the office environment is well-organized, clean, and conducive to productivity.
Coordinate with external vendors for office maintenance and services.
Help maintain health and safety protocols within the office.
Assist the Operations and Installation teams in scheduling and tracking projects.
Help with project documentation, including contracts, schedules, and compliance records.
Support project invoicing and billing processes when necessary.
Help with preparing and distributing marketing materials, brochures, and promotional content.
Perform ad-hoc duties as required by the team, including travel arrangements and other office-related tasks.
Assist with the preparation of reports and presentations.
Education and Qualifications:
A-levels or equivalent; higher education is a plus.
Any administrative or office support qualifications are desirable but not required.
Key Skills & Experience:
Essential:
Previous experience in an office support role (administration, customer service, or similar).
Excellent organizational and time-management skills.
Strong communication skills (both written and verbal).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
A proactive, can-do attitude and a willingness to learn.
Attention to detail and accuracy.
A good understanding of customer service best practices.
Desirable:
Experience in the renewable energy or solar PV industry is a plus.
Familiarity with CRM systems and project management software (Hubspot).
