Job Summary:
We are seeking a detail-oriented and highly organized
Office Administrator
to support our logistics department. The successful candidate will play a key role in coordinating administrative tasks, maintaining documentation, and ensuring the smooth operation of daily logistics functions. This position requires strong communication skills, a proactive attitude, and the ability to manage multiple priorities in a fast-paced environment.
The candidate will also be trained in all departmental functions to provide absence cover and support during busy periods
Key Responsibilities:
Provide administrative support to the logistics and supply chain team
Coordinate shipping and receiving schedules, appointments, and documentation
Prepare and process shipping documents (e.g., bills of lading, invoices, customs forms)
Maintain accurate records of inventory, shipments, and deliveries
Liaise with freight carriers, suppliers, and customers to track shipments and resolve issues
Monitor and update internal databases, ensuring accuracy of logistics data
Assist in managing logistics performance reports and KPI tracking
Order and manage office and warehouse supplies
Support compliance with safety regulations and company policies
Perform general office duties such as filing, answering phones, and handling correspondence
Qualifications:
Proven experience as an office administrator, logistics coordinator, or similar role
Strong knowledge of logistics and supply chain processes is a plus
Proficient in MS Office (Excel, Word, Outlook); experience with logistics software (e.g., SAP, Oracle, WMS) preferred
Excellent organizational and time management skills
Strong written and verbal communication abilities
Ability to multitask and work independently or in a team
Working Conditions:
Office-based with some interaction with warehouse or logistics personnel
Standard working hours with occasional overtime during peak periods
