We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires strong organisational skills, proficiency in data entry, and excellent phone etiquette. The Office Administrator will be responsible for maintaining office efficiency and supporting our staff in their daily activities.
Duties
Manage and organise office operations and procedures to ensure efficiency and ensure compliance to company policies.
Supervise administrative staff and divide responsibilities to ensure performance
Manage agendas/travel arrangements/appointments etc. for the upper management.
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures
Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary
Submit timely reports and prepare presentations/proposals as assigned
Assist colleagues whenever necessary
Preparing documents, letters, reports, presentations and emails to the highest standard of accuracy and presentation.
Arranging meetings, circulation information, minute taking and chasing outstanding actions as required.
Monitoring and implementing effective admin systems and continually reviewing and updating where necessary.
Maintain and regularly update management information systems, e.g Training system etc
Liaise with managers on a monthly basis to check for any Social and Health updates reporting to relevant authorities
To develop and maintain a good working relationship with external stakeholders, including parents, Social Workers, Case Managers and Commissioners etc
To undertake any other task that may be reasonably asked of you by Senior Managers
Skills and experience
Qualifications
- GCSE Grade C or above, or equivalent in English and Math
- High level of numeracy and literacy
Knowledge and Experience
- Proven experience as an
office administrator
, office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and office management software (ERP etc.)
- Experience of working in a busy office and able to present a professional approach
- Knowledge and understanding of health setting (desirable)
- Logical and methodical in approach to work, and ability to work on own initiative.
- Ability to multi-task and organise/prioritise workload
- Willingness to acquire/improve skills

- Excellent oral and written communication skills, and ability to communicate clearly and effectively face-to-face and on the telephone

Working Hours
- 37.5 hours per week
- 5 days office based - 08:45hrs - 17.00hrs
