Your Role



We are seeking a dedicated and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, maintaining records, and providing support to staff and clients. This position requires strong organisational skills and the ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities



Manage daily office operations, including scheduling appointments and coordinating meetings. Perform data entry tasks accurately and efficiently. Maintain filing systems, both electronic and paper-based, ensuring all documents are organised and easily accessible. Handle incoming calls with professionalism, demonstrating excellent phone etiquette. Manage, respond and/or distribute emails from multiple mailboxes to the correct recipient for processing. Assist with bookkeeping tasks using Xero, including invoicing, purchase orders and tracking expenses. Provide clerical support by drafting correspondence, preparing reports, and managing office supplies. Collaborate with team members to ensure effective communication and workflow within the office.

Skills



Proficiency in Microsoft Office Suite applications (Word, Excel, Outlook) is essential. Experience with Xero or similar accounting software is highly desirable. Strong data entry skills with a keen eye for detail. Excellent organisational abilities to manage multiple priorities effectively. Demonstrated phone etiquette and interpersonal skills for effective communication with clients and colleagues. Excellent customer service skills are essential. Familiarity with general clerical duties and office procedures. Competent typing skills to produce documents quickly and accurately. Ability to computerise processes to enhance efficiency within the office environment.
