Office Based in Blaydon Full-time / Part-time Position
About Us:
Koolspark Building Services Ltd is a growing electrical and air conditioning contractor, delivering high-quality workmanship and reliable service across residential, commercial, and industrial projects. We're looking for a proactive and organised Office Coordinator to help keep our operations running smoothly behind the scenes.

The Role:
As our Office Coordinator, you'll be the central point of contact for the team, clients, and suppliers -- ensuring the smooth day-to-day running of the office and supporting management with admin, scheduling, and system processes.
Key Responsibilities:
Coordinate daily office operations and manage communication between teams
Schedule engineers, jobs, and site visits efficiently
Handle client calls, emails, and general enquiries
Prepare invoices, purchase orders, and basic reports
Maintain accurate records and filing systems (digital and paper)
Assist with health & safety documentation and compliance tracking
Order materials and monitor stock levels
Support the management team with ad-hoc admin duties
Assist in the implementation and rollout of the new Simpro business management system, including data entry, process setup, and staff support during the transition

About You:
Strong organisational and multitasking skills
Excellent communication and customer service skills
Proficient with Microsoft Office and general admin software
Experience with or exposure to job management systems (e.g. Simpro, ServiceM8, Tradify) is an advantage
Experience in the construction, electrical, or service industry (preferred but not essential)
A proactive attitude with attention to detail
Ability to work independently and as part of a team
