The Administrative Assistant supports the smooth running of the domiciliary care service by providing high-quality administrative, clerical, and customer-service support. This role ensures compliance with care regulations, accurate record-keeping, and effective communication between staff, clients, and external partners.
Key Responsibilities
Office Administration
Manage incoming calls, emails, and enquiries, ensuring professional and timely responses.
Maintain accurate administrative records, including client files, staff files, policies, and office documentation.
Prepare letters, reports, and other correspondence as needed.
Perform general office duties such as filing, photocopying, data entry, and updating spreadsheets.
Care Coordination Support
Assist the care coordinator with scheduling and updating staff rotas.
Support the onboarding process for new care staff (collecting documents, arranging training, updating records).
Help maintain compliance by monitoring expiring documentation (DBS checks, training, ID, right-to-work).
Update electronic care management systems and ensure accurate information.
Client & Staff Liaison
Provide friendly and professional support to service users and their families.
Communicate changes, messages, and updates to care workers.
Handle initial enquiries from prospective clients and pass them to the registered manager or care coordinator.
Compliance & Quality Support
Assist with preparing documents for inspections, audits, and reviews (e.g., CQC compliance).
Maintain confidentiality and follow data-protection policies.
Report concerns or issues to the Registered Manager promptly.
Skills & Experience
Strong administrative and organisational skills.
Good written and verbal communication.
Experience in social care, healthcare, or a regulated sector (preferred but not essential).
Ability to use software such as Microsoft Office, scheduling systems, and care-management platforms.
Attention to detail and ability to work under pressure.
Understanding of safeguarding and confidentiality.
