The Role



We're looking for an organised, proactive, and detail-oriented

Administrator

to join our growing team in Chichester.

You'll play a vital role in coordinating and supporting our training and employment programmes, ensuring our systems, processes, and records run smoothly behind the scenes. You'll be the operational link between trainers, delivery partners, and management, helping us deliver high-quality services efficiently, on budget, and on time.

This is an office-based role that requires strong communication skills, initiative, and confidence managing your own workload. You'll thrive in a small, mission-driven organisation where flexibility, teamwork, and care for people come first.

Key Responsibilities



Programme Administration



Schedule and book courses, focusing on calendar management and keeping teams on track with their actions. Ensure handovers take place at the start and end of each course. Coordinate logistics for training sessions, including booking venues, equipment and trainers, purchasing materials, creating timetables, and arranging transport. Liaise with internal teams and external partners, trainers, and awarding bodies. Maintain accurate learner trackers, update CRM systems, and generate monthly reports. Ensure all learners receive their certificates and training qualifications when the course concludes.

Finance



Process invoices, purchase orders, and expenses in a timely and accurate manner. Ensure value for money in all course bookings and related purchases, keeping us in line with our budgets.

Data & Reporting



Ensure learner records and outcomes are accurately captured and reported. Ensure all learner and training paperwork is complete and stored securely. Prepare and submit monthly programme performance reports. Maintain filing systems (digital and SharePoint) in line with GDPR and data protection standards.

Team & Communication Support



Provide general administrative support to the Managing Director and wider team. Manage shared inboxes and respond to queries promptly and professionally. Attend team meetings (in-person or online). Contribute ideas for improving systems, templates, and communication processes.

Person Specification



Essential



Proven experience in administration, office management or operations support Strong organisational skills and attention to detail. Excellent written and verbal communication skills. Confident using Microsoft Office, SharePoint, and data tracking tools (e.g., Excel, CRMs). Experience in invoicing. Self-starter with the ability to manage multiple priorities independently. A team player who is proactive, adaptable, and reliable. Commitment to Engage Train Support's mission of creating social impact through skills and employment.

Desirable



Experience working within a training provider, education, or employability organisation. Understanding of awarding body processes or DWP-funded programmes. Experience supporting busy delivery teams or coordinating multiple projects.
