We are seeking a highly organized and proactive Office Administrator to ensure efficient office operations and maintain a structured document control system. This role combines general administrative support with a structured document control function. The ideal candidate will have excellent organizational skills, a strong eye for detail, and a commitment to accuracy--essential for supporting a fast-paced MEP design team and ensuring document integrity across multiple projects.
Key Responsibilities
Office Administration
Provide day-to-day administrative support to engineering and management teams
Handle incoming calls, emails, and correspondence with professionalism
Coordinate meetings and appointments
Maintain office supplies and ensure operational efficiency
Ensure accuracy and consistency in internal documentation and communication
Document Control
Ensure all documents are properly reviewed, approved, and archived
Monitor and track document submissions, revisions, and deadlines
Liaise with engineers, clients, and contractors to ensure correct document distribution
Ensure all document formats, naming conventions, and filing systems meet company standards
Key Skills & Requirements
Experience in office administration and/or document control
Strong attention to detail and high level of accuracy in managing files and records
Excellent organizational and time management skills
Proficiency in Microsoft Office (Excel, Word, Outlook) and document management tools (not essential as training is provided)
Clear and professional communication skills, both written and verbal
Ability to handle confidential information with discretion
Self-motivated and capable of working independently with minimal supervision
