About the Role
We are seeking a proactive and highly organised Office Administrator to join our team in Godalming. This pivotal role supports the smooth and professional running of our operations, providing essential administrative, logistical, and financial support across multiple departments including Finance, Logistics, HR, Quality, and Project Teams.
This is a dynamic role requiring flexibility, attention to detail, and a professional approach to shifting priorities.
Key Responsibilities
Provide administrative support across business departments
Maintain accurate filing systems and internal databases
Manage reception duties: greeting visitors, handling calls, and sign-in procedures
Monitor and replenish office supplies and consumables
Liaise with suppliers and service providers
Organise internal meetings, training sessions, and staff events
Support logistics activities: booking arrangements, packing preparation, dispatch coordination, and goods-in logging
Prepare and format documents, reports, and presentations ensuring brand consistency
Coordinate travel bookings and itineraries for staff and project teams
Carry out fire safety tasks including weekly alarm testing and fire marshal duties
Maintain calendars, schedule appointments, and manage changes
Perform data entry and process financial transactions
Assist with invoice tracking, expense reconciliation, and initial invoice queries
Support internal communications and noticeboards
Take minutes during meetings and distribute summaries
Handle photocopying, scanning, and printing tasks
Create and schedule engaging content for LinkedIn
Promote the company professionally in line with its values and reputation
