Summary



In this role, you will be responsible for the administration of branch activities, working closely with our staff, volunteers and trustees. This includes producing content for our social media (B2C) and website, and undertaking key finance and volunteer administration.

You will manage administrative systems that ensure our animal welfare operations are compliant with current legislation, and with branch & National Society policies.

Organised with excellent communication skills you will promote the work of our branch through all your interactions with members of the public, volunteers, professional partners and suppliers.

Animal Welfare:



To provide support to the Animal Welfare Officer regarding animal intake and adoptions, ensuring a high level of customer care and ensuring all paperwork and filing is kept up to date. To provide support to the Animal Welfare Officer by coordinating home visits of potential adopters where required. To ensure microchip details, vaccination, insurance and other relevant details are transferred across to the new owners.

Branch operations:



To respond to telephone calls, emails, letters and voice messages promptly, updating relevant systems with details as required. To actively promote Branch initiatives and campaigns to promote awareness of our charity and to build and develop positive internal and external partnerships and relationships with members and supporters. Provide a written report for monthly committee meetings and attend committee meetings where required. To support the Chair to manage the branch's Annual General Meeting (AGM). To support the Chair to manage 3rd party suppliers to the branch to ensure best value, and maintain accurate records. To act as first point of call for all complaints, ensuring that matters are passed on to the Chair promptly for response/investigation.

Volunteer operations:



To actively support the recruitment of volunteers, processing all volunteer applications and maintaining accurate records. Provide administrative support to Shop Managers and Animal Welfare Officer in taking up volunteer references. To arrange volunteer training provided by the Home Visitor Lead Trustee or Animal Welfare Officer.

Finance & Compliance:



Manage all the daily financial transactions using our finance software xero including reviewing and processing invoices, reconciling and maintaining accurate records. Ensure all financial management, cash handling, payment of invoices, banking and security procedures are followed. Ensure high standards of data protection are met.

Events & Fundraising:



To provide administrative support to the Fundraising Lead Trustee in organising and holding fundraising events, including attending them where requested. To investigate opportunities for income-generation for the Branch across our branch area.

Social Media and Marketing:



To be responsible for the branch website and all social media (Facebook, Instagram, TikTok, YouTube and X). To create and produce content including branch case studies about our animals for sharing on social media pages and the branch website. To provide details of animals for rehoming to our design lead Trustee for producing posters/marketing materials which can be displayed in our retail shops, ensuring the content is kept fresh and updated and RSPCA branding is adhered to. To produce content for the quarterly Branch digital newsletter that goes to our members and supporters. To seek local press opportunities and arrange interviews to advertise branch events and/or initiatives.
