Role Overview
Douglas White Financial Planning is seeking a highly organised and detail-orientated Office Administrator, ideally with experience within a financial planning firm or other professional office. The ideal candidate will provide essential administrative support and assistance across multiple areas of the business to ensure the smooth operation of our office.
The ideal candidate for this role will have experience of working in a similar office environment but will be able to adapt to specific existing processes and standards.
Full ongoing support and training will be provided, however, the following core skills are required:
Ability to work in line with existing procedures and to follow established working routines.
Thoroughness and attention to detail.
Ability to work closely with others.
Strong communication skills, both verbal and written.
Confidence in contacting clients and providers to discuss circumstances or to request information.
IT experience and a good level of technical ability.
Key Administrative Duties & Responsibilities
General administration duties including:
o Handle incoming telephone calls dealing with client / callers queries where possible
o Manage email inboxes
o Post
o Maintain accurate client records
o Scanning and filing
o Effective correspondence drafting and client query resolution
Consistently provide a high level of service to clients to maintain and build relationships.
Contact clients to schedule review meetings, initiate and monitor the return of up-to-date client information.
Prepare client information in readiness for meetings
Ensure all post-meeting requirements are actioned promptly, including updating of databases and taking any follow up action as appropriate.
Assist with preparation & delivery of quarterly reviews.
Liaise with 3rd party providers to obtain information.
Support and work closely with colleagues.
