General Management roles in Ultra lead and manage the operating and financial performance of the business and ensure that the development of talent and succession is aligned to the strategic plan.

Management Support and Communications personnel provide support in their areas of expertise.

Nationality Requirements

Candidates must be eligible to obtain the relevant security clearance required for the role, due to the nature of the programmes we deliver for our customers.



Reporting to the Office Manager, this role will provide support to all parts of the business. The job holder will be expected to be an excellent team player, although he/she will also need to work autonomously.

The management support function in Ultra provides effective and efficient administrative support, which may include:

diary management

travel and accommodation planning

expenses reconciliation

meeting arrangements

minute taking

general office management such as answering phones, speaking with clients

assisting manager

clerical work (including maintaining records and entering data)

a variety of other tasks

These roles perform a range of clearly defined procedures, and will typically be considered skilled through on-the-job experience. Resolves routine issues without supervisory approval. Has developed skills through formal training and/or work experience.

Key Responsibilities

Book Outside Hospitality and reconcile invoices relating to hospitality bookings

Prepare and set up refreshments and ordered lunches for meetings

Ensure catering supplies in the Loudwater site are maintained

Travel Management/arrangements \xe2\x80\x93 Booking Flights, hire cars, hotels

Book meetings and schedule events across time zones

Raising Purchase Order Requisitions on IFS as required

Compiling, formatting, printing and binding of documents

Assisting with admin requests sent to the Admin Team Portal

Submit expense reports for the Directors as required on Webex

Order office stationery and monitor supplies

Manage the Loudwater Pool Cars in the booking calendar

Provide absence cover for the Admin Team

Skills, Qualification and Experience

Proficiency with Microsoft Office programs

Experience in supporting multiple teams and meeting deadlines

Organisation and prioritization skills

Experience of working in a fast paced changing environment
