Duties
Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth
Oversee schedule management for meetings, appointments, and events, ensuring calendars are accurate and up-to-date
Coordinate vendor management activities, including processing invoices, maintaining supplier relationships, and ensuring timely deliveries of office supplies and services
Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training & development initiatives
Handle bookkeeping tasks using QuickBooks or similar accounting software to manage expenses, track budgets, and perform basic payroll functions
Organize filing systems--both digital and physical--to ensure easy access to documents while maintaining confidentiality
Assist with event planning for company meetings, training sessions, or special events to promote team engagement and organizational culture
Experience
Proven experience in office management or administrative roles within a professional environment
Supervising experience preferred, demonstrating leadership in managing teams or projects
Strong proficiency in QuickBooks for bookkeeping and payroll processing
Excellent communication skills with a focus on phone etiquette and professional correspondence
Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy setting
Experience in medical office management or healthcare environments is a plus but not required
Familiarity with calendar management tools and multi-line phone systems is essential
Background in event planning, vendor management, budgeting, and human resources will enhance your success in this role
