Job Summary



We're seeking a highly organised and proactive person to help maintain the smooth, professional running of our hearing clinic. You'll be central to both internal coordination and our external communications -- managing client interactions, streamlining workflows, handling invoicing and insurance matters, and leading creative outreach across our digital platforms.

This is an excellent role for someone with a keen eye for detail, strong communication skills, and a thoughtful, creative approach to branding and business support.

This position is offered on either a part-time basis (minimum 30 hours per week) or as a full-time role, subject to discussion. The salary will be prorated accordingly.

Our independent hearing clinic offers a bespoke, highly individualised service including comprehensive hearing assessments, advanced hearing aid fittings, personalised rehabilitation programs, tinnitus assessment and therapy, ear wax removal, and custom ear protection.

With a strong focus on exceptional client care, we build lasting relationships based on trust, support, and results.

As part of our close-knit team, you'll be helping us maintain a thoughtful, person-centred experience for each client, while also supporting the day-to-day operations that keep the clinic running smoothly.

Key Responsibilities:



1. Reception & Client Liaison



Welcoming clients and managing phone/email enquiries Scheduling appointments and collecting key personal details Ensuring all pre-treatment forms and communications are professionally handled

2. Administrative Support



Drafting correspondence using Microsoft Word templates (letters, patient emails, etc.) Tracking payments, insurance claims, and stock levels via Microsoft Excel Perform general office duties such as filing, photocopying, and scanning documents Managing clinic software, schedules, and documentation Liaising with suppliers and insurance providers Coordinating errands and occasional post office duties Performing minor hearing aid repairs (training provided) Maintain office organisation and orderliness

3. Financial Administration



Processing payments for services and products Creating, issuing, and tracking invoices

4. Marketing & Digital Presence



Developing and maintaining a professional social media presence (Facebook, Instagram) Creating visually appealing posts, posters, and leaflets using Canva Assisting in local distribution of promotional materials

Candidate Profile

Enthusiastic about administration or front-of-house roles--experience not essential, but a strong willingness to learn is. Proficient in Microsoft Office and scheduling systems, or highly motivated to learn. Organised, professional, and confident in both written and verbal communication Skilled at managing time, prioritising tasks, and working independently in fast-paced environments Discreet and empathetic in handling sensitive information and patient interactions Creative with a flair for visual content and confident on social media platforms
