Job Description

We are recruiting an Office Administrator to join TestCard. This is a permanent, full-time position and represents a unique opportunity to be part of a high growth medical technology startup.

We are seeking a highly organised and proactive Office Administrator to manage daily office operations, support leadership with administrative tasks, and help maintain a smooth, efficient workplace. The ideal candidate will be detail oriented, communicative, and capable of multi-tasking in a fast paced environment.

TestCard is an award-winning MedTech startup that provides at-home medical testing kits with immediate results via a mobile app. TestCard's solution is a combination of a non-invasive urine test kit built into a postcard format, with an accompanying mobile app that turns a mobile phone's camera into a clinical-grade scanner. Our development team is constantly using the latest practices to make our products easier to use and more engaging for the end user, and to provide accurate, immediate test results.

Job Brief



The Office Administrator plays a key role in supporting the day-to-day running of company operations, maintaining accurate records, and ensuring smooth coordination across departments including production, quality, and management.
This role supports the effective implementation of operational and administrative processes and contributes to continuous improvement in efficiency and organisation.
The position requires excellent attention to detail, strong communication, and methodical working practices. The Office Administrator will be expected to become familiar with company procedures, documentation systems, and data handling practices to ensure compliance and operational effectiveness.

Responsibilities



Provide general administrative support to all departments including operations, production, and quality teams. Maintain and update company documentation, logs, and records within the Electronic Document Management System (EDMS). Support production and logistics by tracking and recording stock movements, equipment usage, and production records. Maintain and distribute controlled company forms and templates. Support document control activities including document review, approval, and archiving. Ensure administrative areas, records, and filing systems are accurate and up to date (digital and physical). Assist in preparing reports, data summaries, and records for audits or management reviews. Liaise with suppliers, service providers, and external contacts as required. Maintain an up-to-date personal training record and follow company policies and quality procedures. Work within the requirements of the quality management system.

Requirements



GCSEs (or equivalent) -- further education in business administration or related subject preferred. Strong organisational and communication skills. Proficiency with Microsoft Office or GSuite tools. Experience maintaining records or documentation systems (EDMS experience desirable). Ability to follow written and verbal instructions accurately. Reliable, trustworthy, and able to handle confidential information appropriately. Methodical approach and attention to detail.

Desirable



Previous experience in an office or production administration role is desirable. Experience in the use of electronic QMS/Administration systems would be advantageous. Specific knowledge of, and experience in ISO 13485:2016 and/or ISO 27001 is of great benefit.

Pay: 26,000.00 per year
