Job Description

At UK Architectural Heritage, we are looking for an Office and Client Services Coordinator to join our team. In this dynamic role, the successful applicant will be the first point of contact for our customers; from responding to initial enquiries by phone and email, to organising safe delivery of their purchases to their properties and projects.

The ideal candidate must have excellent IT and problem-solving skills, be highly organised and have a positive, proactive attitude. Working from our rural countryside office, you will be part of a small team and as such the successful candidate must be adaptable, able to operate efficiently and independently with minimal supervision, willing to work hard and contribute ideas to the business.

About Us



UK Architectural Heritage is a seller of premium architectural and decorative antiques. Based in rural Herefordshire, we are one of the largest reclamation yards in the country with showrooms and warehouses packed with hand-picked antiques in styles through the ages. We work with architects, interior and retail designers, filmmakers, property developers and homeowners.

The Role



First point of contact for customers: responding to email enquiries, answering the phone, meeting and greeting in-store clients

Managing our busy email inbox

Working with our Director and the wider team to answer client enquiries in a timely and informative manner

Implementing effective systems for managing customer databases and enquiries

Placing items on reserve and following up with clients

Coordinating sales, refunds and returns

Responding to orders through our website and third-party platforms

Raising invoices and reconciling payments

Scheduling collections and deliveries: organising trip days for our in-house delivery team, arranging trusted couriers

Assisting clients with customs documentation

Requesting documents for anti-money laundering checks when required (training provided)

Work alongside the office team to maintain efficient office processes: filing, using the card machine, office organisation, etc

Candidate Requirements (Essential)



1 year experience in a similar role

Educated to degree level

Excellent IT skills: Microsoft Outlook, Excel, Apple Mac

Strong organisational skills

Excellent customer-facing and written communication skills

Able to multi-task and prioritise workload

Strong time management skills

Team player

Right to work in the UK

Own transport essential due to our rural location

Candidate Requirements (Desired)



Experience with QuickBooks Accounting System

Other Information



Working hours: Monday to Friday 8am - 4:30pm (40hrs per week; we will also consider applications looking for a minimum of 30hrs per week)

30 minutes unpaid lunch break

28 days holiday (incl. bank holidays) - additional unpaid leave scheme available

This role is based within a farming environment which can be dusty and dirty

Training provided

Salary:

26,000 - 32,000 pro rata dependant on experience
