Office Coordinator - Part-time
The Office (Studio) Coordinator will work closely with the Office Manager to ensure the office runs smoothly on our two mandatory in-office days - Tuesday and Thursday. You'll arrive ahead of the wider team to make sure the studio is fully set up for the day - clean, safe, well-stocked, and ready to welcome staff and visitors.
This is a hands-on, people-focused role and a key part of creating a positive office experience for everyone. This is a part-time, on-site role (2 days per week), working Tuesdays and Thursdays, 9:00am-5:30pm.
Responsibilities
Greet and assist visitors, ensuring a warm and professional welcome
Oversee daily office operations, ensuring a clean, safe, and well-functioning workspace
Maintain office supplies, equipment, and inventory
Manages and liaises with third party maintenance suppliers including cleaners, key holders, security and additional contractors
Manage post, deliveries, and office correspondence
Ensuring the kitchen is well-stocked with snacks and refreshments including managing food & drink deliveries
Equipment support inc mobile phone/laptop management
Carries out checks/walkrounds to ensure maintenance and supplies on each floor
Occasional PA support from time to time if needed to the SLT / MTG Group for example - booking rooms/venues, assisting with visits, events, diaries, admin, coordination, arranging taxis etc
Support onboarding and offboarding of employees (setting up equipment, access, welcome packs, leaver cards and gifts etc)
Sharing Studiowide updates/communication when required (via Slack and email)
Helps coordinate/manage staff events, HSR and social activities
Support with ad hoc tasks and projects as required
Requirements
Ability to manage multiple priorities, meet deadlines, and maintain smooth daily office operations.
Confidence in liaising and interacting with people at all levels, communicates in a timely manner - both in writing and verbally.
Proactive and resourceful, able to take initiative, anticipates needs, think ahead for any issues, flags things before they come up, think of solutions/solve problems.
Ability to balance deadlines, ensuring tasks are completed in good time without compromising quality.
Works effectively with all staff, creating a positive, proactive and professional impression.
Flexible in approach, able to adjust and stay calm under pressure during events or deadlines. From time to time, some flexibility may be required to work additional / alternative days / start & finish times if for example there is an event happening at the office. Notice would be given should this be the case.
Confident user of Google office Suite, databases, and office management software.
Familiarity with workplace compliance, safety procedures, and risk management a bonus.
