Job Description

We're looking for an Office & Facilities Manager to join Union VFX and play a central role in making our space run like clockwork -- for our staff, clients, and visitors alike.


This is a hands-on, varied role where no two days are the same. You'll be the go-to person for all things operational -- from managing our front of house and studio facilities, to arranging travel and events, to keeping our studio safe, clean and running smoothly. You'll work closely with our senior team, our Montreal studio, external service providers, and most importantly, our people -- ensuring everyone has what they need to thrive.

What you'll do:



Client Services & Front of House



Lead and support the Front of House team (currently 1 Runner) Ensure an exceptional client and visitor experience -- from the reception desk to screening rooms Manage staff and client events, from planning to execution Source local perks and discounts for the team

Studio & Office Management



Keep the studio looking and functioning at its best Manage supplies, budgets, petty cash and vendor relationships Handle travel bookings, courier logistics, and diary admin for co-founders Maintain studio communications, social events calendars, and staff support processes

Facilities & Compliance



Oversee maintenance and liaise with landlords and suppliers Ensure compliance with health, safety, and environmental standards Manage fire wardens, first aiders and necessary training Coordinate refurbishments, repairs, and security procedures

People & Culture



Support new starter onboarding and team wellbeing Assist with internal comms and foster a positive, inclusive studio culture Work closely with the Head of People and Talent Team on staff journeys

What we're looking for:



Proven experience as an Office or Facilities Manager (creative industry experience a big plus!) Excellent communication skills - written, verbal, and interpersonal Naturally organised with strong attention to detail and time management Comfortable working independently, but great at collaborating across teams Discreet, approachable, and solutions-focused Calm under pressure with a can-do, sleeves-rolled-up attitude * Tech-savvy and able to pick up new systems quickly
