Dave Doogan MP is looking for an Office Manager to join his constituency office in Forfar. This is an exciting opportunity to be part of a small and dedicated team supporting Dave's work on behalf of the constituents of Angus and Perthshire Glens.

Overview:





This role offers experience supporting an MP with their constituency work. The right candidate will be highly organised and proactive in ensuring the smooth-running of the parliamentary office.



The Angus and Perthshire Glens office is a fast-paced, supportive environment to work in.



The successful candidate will be confident working in a public-facing role, handling enquiries from the public and have an excellent understanding of constituency issues. The successful candidate will be motivated, enthusiastic, have excellent administrative and organisational skills, and the ability to prioritise their workload.


Main responsibilities




Lead and maintain a highly professional administrative support function for the MP's office Manage the office team, ensuring accurate personnel records are kept and notifying IPSA of contractual changes as necessary Ensure the office is fully equipped and running smoothly Responsibility for managing all aspects of the budget, keeping the MP informed of all relevant financial matters and liaising with IPSA on office finance Deal with security matters, keep abreast of security guidance, maintain the security system, liaise with external bodies as appropriate Overall management of the MP's diary commitments, delegating tasks to others as appropriate Liaise with groups/personnel including at Westminster, within the constituency and the general public, including attending meetings on the MP's behalf as necessary Have final signoff on all relevant delegated areas from the MP, for example casework and constituent correspondence Take ownership of certain casework as required including identification and management of complex cases Plan the MP's internal communications and external stakeholder engagement and provide strategic advice on constituent matters on behalf of the MP where appropriate Horizon-scanning, anticipate what advice or action may be required; proactively identify problems and resolve them Conduct parliamentary research as required Support and manage the recruitment of staff for the MP's office Identify training opportunities and ensure the office team maintain and develop knowledge of relevant legislation where appropriate.

The successful candidate will:




Be educated to degree level minimum Have previous experience working as a Senior Administrator/Office Manager and managing a busy diary Have previous experience of constituency casework and have a genuine interest in helping constituents Have a driving licence and access to own transportation Outstanding written and verbal skills, financial literacy with keen attention to detail Be a highly motivated staff member, with a positive can-do attitude and ability to work independently and collectively as part of a small team Have very good interpersonal skills Be able to research, understand and convey a wide variety of subjects Demonstrate an ability to work to demanding deadlines Be generally sympathetic to the aims and values of the SNP

Notes





This post will require some travel within the constituency and occasional travel to Westminster for attendance at meetings, surgeries, trainings and other events.



There may be a requirement for the role holder to work outside of normal working hours occasionally.
