Position Overview



We are seeking a highly organised and proactive Office Manager to join our company. The successful candidate will be responsible for planning, organising, and coordinating the various activities and resources of our office, ensuring smooth and efficient operations. This pivotal role supports both our administrative and operational teams, and plays a crucial part in maintaining a positive, productive, and compliant working environment.

Key Responsibilities



Oversee day-to-day office operations, ensuring all administrative processes run smoothly and efficiently. Coordinate scheduling and dispatching of maintenance staff to client sites, responding quickly to urgent requests and routine appointments. Maintain accurate records of maintenance jobs, work orders, and service contracts. Manage office supplies, equipment, and inventory, ensuring timely ordering and restocking as required. Develop and implement office policies and procedures to improve workflow and efficiency. Handle invoicing, billing, and processing of payments from clients. Liaise with the accounts to ensure timely payroll processing for office and field staff. Maintain petty cash and process expense reports. Assist with recruitment, onboarding, and training of new office and maintenance staff. Maintain confidential personnel files and ensure compliance with employment regulations. Coordinate staff schedules, holidays, and leave requests. Address staff queries and serve as a point of contact for HR-related matters. Serve as the first point of contact for clients, handling enquiries via phone, email, and in person. Ensure excellent customer service by promptly addressing client concerns and complaints. Communicate job updates and feedback between clients, office staff, and field technicians. Ensure company compliance with relevant health and safety regulations and maintain up-to-date documentation.

Skills and Experience



Proven experience as an Office Manager, Office Administrator, or similar role, preferably within a maintenance or service-based industry. Familiarity with a variety of office software, including email tools, spreadsheets, and databases. Strong organisational, planning, and multitasking skills. Excellent communication and interpersonal abilities. Attention to detail and problem-solving aptitude. Ability to manage competing priorities and work to deadlines. Experience in managing vendor contracts and negotiating service agreements is desirable. Bachelor's degree in business administration, communications, or a related field will be an added advantage
Job Types: Full-time, Permanent

Pay: 31,300.00-33,500.00 per year
