Position Overview:
The Office Manager will manage the day to day operations of our office environment. The ideal candidate is enthusiastic, proactive, confident, sociable, and has a strong work ethic.
Based in London, the job holder will act as the go to administrative person for the International Leadership team, responsible for general admin tasks (expenses, share-point management, meeting coordination, etc); as well as support the smooth organization and running of meetings, events, and office maintenance.
Responsibilities:Prepare purchase orders and track payment status'. Prepare and submit expense reports. Coordinate and initiate conference calls and WebEx meetings. Arrange domestic and international travel on an as needed basis. Scheduling/event management for employee events. Proactively support the company's strong culture through socials, events, and regular engagement. Calendar, coordinate, and host meetings, calls, webinars. Organize logistics and catering for meetings. Go to person for the International Leadership team administrative assistance. Maintain the condition of the London office and arrange for necessary repairs, deliveries, etc. Manage multiple external vendor relationships and office maintenance. Review and update health and safety policies within the office. Coordinate the onboarding requirements of new staff regarding in the office. Organize shipments to European employees, offices, or conferences, when necessary. Perform special projects and other duties as assigned.

Education and Experience:Demonstrated experience in administration support/office management/ similar role. Experience supporting multiple teams preferred. Fluent in English, other languages are a bonus.

Skills/Competencies:Dependable, highly organised, and very detail oriented. Possess strong problem resolution and project management skills. Ability to act independently and use discretionary judgment. Heavy Microsoft Outlook scheduling experience. Extremely knowledgeable in Microsoft Office suite (Word, Excel, and PowerPoint). Exceptional verbal, written, presentation, and communication skills. Ability to handle multiple projects at any given time. Team-oriented able to collaborate with different teams across all functions. Superior interpersonal skills.

Physical Requirements:Able to work longer than an 8-hour workday as needed. Located close to office in case of emergency. Self-dependent and drive

NOTE: This position is eligible for hybrid working arrangements (requires on-site work from a Insulet's London office at least 3 days/week; may work remotely other days).
