To maintain the efficient running of the school office by providing the full range of financial and administrative support to the Headteacher and staff. Provide an excellent standard of customer service.
Main Duties and Responsibilities:
To assist and oversee the smooth-running of the office.
To maintain staff records, collate overtime and prepare the monthly salary run.
To be responsible for all staff recruitment in line with safer recruitment guidelines/policies.
To maintain the school's single central register in line with current Government and ISI safeguarding requirements.
Maintain the school's portal / be responsible for processing theTrafford Early Years Funding.
To be responsible for purchasing school curriculum resources ie to process purchase orders / invoices using the School's Kefron and AIQ systems.
To be responsible for purchasing and reconciliation of the School's credit cards.
To liaise with the Head Office accounts team and assist with parent / supplier queries.
To assist Head Office with debt collection procedures.
To assist the School Administrator and oversee the financial element of school trips, wraparound care and extra curricular clubs using Magic booking.
To attend regular finance meetings with Head Office.
To work collaboratively with the housekeeping team to manage regular checks for compliance eg Legionella, electrical maintenance, gas safety and all areas of site management.
Lead first aider (shared responsibility with the Deputy Headteacher)
Communication
To assist the school administrator in receiving visitors, take telephone calls, relay messages, receive and dispatch school mail and contact parents/carers and other external agencies. Attend and participate in relevant meetings as required. To ensure that all stakeholders are treated with the utmost courtesy and to promote the school in a professional manner at all times.
To minute confidential meetings, disseminate the information to any relevant parties, liaise with outside agencies and action accordingly. Prepare correspondence when necessary.
School Events
To attend Open Mornings and school events at the Headteacher's discretion.
First Aid
To assist with supervision of pupils in emergencies and be willing to train for a relevant first aid certificate if not already qualified.
IT
To be familiar with the use of various software packages- Microsoft 365.
Miscellaneous duties
Such duties of a similar nature as all above as the Headteacher may reasonably require.
