As an Office Services Assistant, you will represent our client and SPS in a top tier corporate environment, with a heavy focus on providing a 5client experience.
Duties and Responsibilities:
Deliver exceptional daily Office Services Centre support, ensuring all service levels and standards are consistently met and maintained.
Conduct routine checks, promptly identifying and reporting any faults or issues to the Team Leader for resolution.
Handle all service-related complaints professionally, ensuring they are addressed promptly and appropriately; escalate issues to the Team Leader as necessary.
Provide a warm, professional, and welcoming service to all visitors and clients, creating a positive first impression.
Answer incoming calls efficiently, transferring as needed, responding to inquiries, and always maintaining a high standard of telephone etiquette.
Manage the company email inbox, ensuring all correspondence is responded to promptly and accurately.
Engage proactively with clients and visitors, addressing inquiries face-to-face and via telephone to deliver a seamless customer experience.
Demonstrate comprehensive knowledge of Office Services offerings to support the efficient and effective delivery of services.
Maintain up-to-date knowledge of company policies, procedures, systems, and relevant developments to provide accurate information and support to clients.
Communicate proactively with the Office Services Team Leader regarding any operational concerns or potential issues, facilitating early resolution.
Keep the work area clean, tidy, and organized to promote a safe and efficient working environment.
Process paperwork and administrative tasks accurately and efficiently for clients.
Manage the ordering and inventory of marketing materials, liaising with suppliers to ensure timely delivery.
Perform any additional duties as assigned by the Office Services Team Leader to support the smooth operation of the Office Services Centre.
Person specification:
Proven experience in customer service roles, ideally in a corporate or hospitality setting.
Ability to communicate effectively in a variety of written and verbal formats with a wide range of people.
Working accurately, under pressure, to tight deadlines with the ability to remain calm.
Strong IT skills (MS Office)
Excellent Customer Service and complaint handling.
