Role Overview:



Reporting to the Group Facilities Manager, the Office Services Coordinator will ensure the smooth running of the Sheffield office -- providing a professional front of house service, managing meeting rooms, and overseeing all day-to-day facilities operations. You'll liaise with contractors, suppliers, and the landlord to maintain an efficient, well-presented, and safe workplace environment.



Key Responsibilities:



Reception and Meeting Room Administration

Greet visitors and coordinate meeting logistics. Manage the booking system and ensure smooth setup/clear down of meeting spaces. Liaise with catering companies for meetings and events. Provide administrative support, including mail merges and ad hoc office tasks.

Office Services

Oversee cleaning and maintenance providers, ensuring service quality. Manage stationery procurement and stock levels for Sheffield and other offices. Oversee mail and courier operations, access passes, and desk plans. Support with maintenance, building issues, and helpdesk tasks. Ensure compliance with the clear desk policy and manage locker allocations. Provide facilities cover across other Tes offices when required.

Health and Safety

Maintain risk assessments and ensure compliance with H&S policies. Support DSE processes and first aid/fire warden duties. Coordinate training and maintain safety documentation. Promote safe working practices across the office.

What Will You Need to Succeed?

Excellent communication skills and the ability to engage with people at all levels. Strong organisational and multitasking abilities. Proficiency with Microsoft Word and Excel. A proactive, customer-focused mindset.

Desirable:



Health & Safety awareness, contractor management, or front-of-house experience. Experience managing suppliers and budgets. Ability to work independently in a busy environment.
