The Office Support Lead, part of the People Experience Team, oversees the day-to-day operations of office administration, ensuring a productive, safe, efficient and fun work environment. This role involves managing office procedures, maintaining onsite facilities and supervising support services. The ideal candidate will be organised, detail-oriented, and proactive in addressing the needs of the team and facilities and ultimately contributing to create a great place to work.

Key responsibilities:



Office Management & Admin Support:

Manage office administrative functions, including deliveries and mail distribution, office supply inventory, and vendor management in our serviced office facilities Ensure a clean, organised, safe and well-stocked office environment. Coordinate with IT and the People Team for onboarding/offboarding of new starters/leavers in relation to their access badges and workstation setup, including onboarding inductions. Support with effective management of the office budgets and monitor expenses related to office supplies and services. Responsible for booking Company Travel requests through a ticketing system and track and submit the monthly expenses via the company platform. To help with the set-up of team days, and board meetings. This could include room bookings, room set up, ordering of catering and being on hand on the day for support. Developing and implementing admin systems and procedures to drive process improvements. Coordinate space planning and office relocations as needed.

Facilities Management:

Co-ordinating the onsite maintenance plans and liaising with the Facilities Lead, to support the servicing of lighting, PAT testing etc. To serve as the primary contact for building management and vendors (e.g., cleaning contractors, janitorial, security, HVAC ) and proactively managing any issues related to housekeeping. Maintain relationships with external service providers to ensure quality and cost efficiency across all Office Hub Sites. In conjunction with the Risk and Assurance Team, ensure compliance with Health and Safety regulations, including fire drills and safety inspections and DSE assessments for your site. Maintain records of office expenses, vendor contracts, and facility maintenance logs.

Team Support:

Being part of the People Experience Team to create a great working environment and a safe and secure place to work. Support the onboarding process of new starters throughout Pulsant, including new starter inductions Support with volunteering and charity events and initiatives Act as a liaison between People Leaders and our People regarding office-related issues. Support the planning and manage internal local events, meetings, and team activities. Support visitor management and reception services when required Ad hoc projects as required.


What / who we're looking for:





Previous office administration experience Facilities management experience would be a plus but not essential Proficiency in Microsoft suite Excellent communication and interpersonal abilities and a warm, friendly demeanour Flexible 'can do' attitude, inquisitive and eager to learn Strong organisational and multitasking skills.
