As Office & HR Manager, you'll play a pivotal role in supporting the smooth running of our central Newport office, based within Kingsway Shopping Centre, and assisting the Finance & Operations Manager in delivering critical administrative, HR, and compliance functions. Beacon Lily is a business management and support service providing office, HR, compliance and finance services across the Boyce Group portfolio, including companies in property, construction and design, leisure, and high-end cabinet makers. We're a tight-knit, entrepreneurial team based in Bristol and Newport, supporting a fast-growing group of ventures across South Wales and the South West.

About the Role:



You'll take ownership of HR administration and office coordination for our Newport site, ensuring compliance, supporting recruitment and onboarding, and creating an efficient, positive working environment for all team members. Working closely with the Finance & Operations Manager, you'll also contribute to process improvement, support budget and payroll cycles, and help manage various operational and property-related tasks.

This is a broad role with lots of variety - ideal for someone seeking a long-term position with development potential.

Key Responsibilities:



Duties will be tailored to the skills and strengths of the successful candidate, but typical responsibilities will include:

HR & People Management:



Coordinating recruitment and onboarding processes Managing HR records and compliance (including contracts, holidays, absences, training logs) Supporting staff wellbeing initiatives and company culture development Responsible for payroll preparation. Overseeing staff scheduling and performance tracking in collaboration with managers

Office Management & Operations:



Liaising with suppliers, contractors, and building management Managing office systems and ensuring a well-functioning, organised workspace Overseeing purchasing of office supplies and equipment Supporting events, marketing activities, and internal communications Supporting business compliance across property, employment, and insurance requirements

Finance & Administrative Support:



Assisting with cashflow monitoring and supplier payments Helping prepare reports for internal use and external stakeholders Reviewing and processing invoices and expenses Supporting credit control and financial recordkeeping Liaising with tenants, contractors, and clients as needed

What We're Looking For:



Experience

in office management, HR support, or a similar administrative leadership role (minimum 2 years) Strong working knowledge of HR processes, systems and compliance (CIPD Level 3+ desirable but not essential) General knowledge of the finance function. Proficient in Microsoft Office and cloud-based platforms (experience with Xero is an advantage) Highly organised and detail-focused with strong time management skills A natural communicator with a people-first mindset Comfortable working independently and collaboratively across teams Flexible, curious and motivated to support a diverse and growing organisation
