We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong supervisory skills and be adept at managing administrative tasks while fostering a positive work environment. This role requires excellent communication abilities and a keen understanding of office management practices, including human resources and clerical duties, overlooking the four main departments within Positive Housing
Duties
Ensure service delivery is in accordance with our contractual obligations and all service activities meet legislative/regulatory requirements.
Liaise and maintain a good professional relationship with all tenants, staff, referral agencies, RSL's, BCC, neighbours, or any external bodies/personal engaging with.
Provide on call support and managing the 24 hours on call system.
Attend professional meetings.
Manage staff teams, monitor performance, and ensure staff remain motivated.
Manage the recruitment and training of all new staff.
Work with directors to modify, improve, refine standard operating procedures
Be the point of call for guidance, advice, and assistance to staff.
Manage and organise the resources efficiently and effectively
Run daily reports on CRM to manage tasks and ensure tasks are been completed
Liaise with each department throughout the day to ensure all procedures and processes are been followed.
Work with all departments to provide solutions for any issues that have arisen
Engaging with your team by developing and continuously improving communication, team building, training, and developing.
Coordinate and manage a department where necessary
Manage and oversee all documents within the support team to ensure no back log is created.
Ensure all support provided by support workers is documented and completed up to date to a satisfactory standard for the month.
Oversee Maintenance tasks to ensure they are been completing in a timely manner
Awareness of all forthcoming inspections and ensuring all processes have been followed to achieve a pass.
Any failed inspections to be investigated and actioned accordingly.
Solve any issues any departments are faced with.
Conduct regular department meetings to understand and review any processes issues they face.
Oversee shared drives of all departments daily to ensure information that has been collated is accurate
Oversee Compliance certification to ensure nothing has over ran its expiry.
Ensure Submission documents for new move ins have been completed, anything outstanding should be given high priority.
Manage and conduct HR duties.
Oversee Audit request and ensure deadlines have been met.
Reviewing and overseeing QR Codes.
Solve any issues any departments are faced with.
Ensure all staff are signing out and then signing back in for lunch
Ensure all complaints have been dealt with efficiently.
Conducting one to ones with senior leadership team.
Experience
Proven experience in an office management or supervisory role is essential.
Strong organisational skills with the ability to multitask effectively in a busy environment.
Proficiency in CRM software is preferred.
Demonstrated ability to communicate clearly and effectively with team members at all levels.
Experience in human resources functions is advantageous.
Familiarity with clerical duties such as filing, data entry, and document preparation is required.
