Hemiko are recruiting for a Plant Maintenance Administrator, reporting to the Plant Maintenance Coordinator to join our growing Service Delivery team.





The successful candidate will work to ensure our contracted services are delivered effectively by both our field service engineers and specialist service delivery partners, whether planned maintenance, reactive breakdowns or planned improvement works. We have a growing number of sites and are expanding our services to deliver low carbon heating solutions across the country. The role will be varied and combine elements of planning, project management, logistics and liaising with key clients.





We are looking for someone who has attention to detail and can methodically work through our plant maintenance program across multiple sites and effectively schedule work for engineers within the operations department.

Some of our current projects include:


The design, installation, operating, and funding of a district heating system to serve 3,500 homes in Clapham as part of a major regeneration project. The design, installation, and operation of a new city centre wide low carbon district heating system for the City of Cardiff. The design, installation, and operation of a ground source heat pump system to provide heating and cooling to a new development of 300 homes a gym and office building in South London. The design and installation of a heat network in a rural community in Cambridgeshire to replace oil boilers in 300 homes with centralised low carbon heat generation. Developing detailed long-term decarbonisation plans for existing large scale district heating networks to allow them to transition from gas fired CHP led generation to low carbon generation.

The Role

Hemiko are seeking a Plant Maintenance Administrator to work with the Plant Maintenance Coordinator to learn and develop while delivering value to the Operation & Maintenance team.





This is a role for someone who is organised and has a keen eye for detail. The role will require careful time management, problem-solving skills and thinking independently about how to effectively deliver multiple projects of varying complexity in parallel. Good IT skills are desired particularly in Excel. Previous use of CMMS system would be beneficial however all necessary training will be provided.

The candidate will need to be a self-starting personality someone who takes pride in their work and is comfortable communicating with team members and all teams across the business, working closely with our Field Service engineers and both Operations and Contract Management teams



They will be personable and a good communicator. A diligent and empathetic personality is needed to be able to explain and present information appropriately, within the business and to external clients and customers also.

Key responsibilities:

Team Coordination:

Responsible for efficient and effective scheduling of the Field Service teams and specialist service delivery partners involving: + Pre-planned maintenance (PPM)
+ Reactive / Breakdown response
+ Corrective and follow-on work orders (WO).
+ Billable / Quoted works
+ Team training / E-learning coordination.
+ Internal Support
Booking and coordinating engineer visits using our computerised maintenance management system (Microsoft Dynamics 365 Field Service), ensuring the appropriate workload is spread across the team, and data is recorded correctly. Liaising with the Operations department, both office-based staff and service engineers to ensure works are being delivered effectively. Liaising with the Customer service team and O&M Site Managers to schedule in planned, corrective and reactive works, as well as follow-up visits. Assist with arranging external contractors. Engineer planned leave approval Preparation of yearly and 4 weekly work schedules with the ops team. Identify and alert management of events with potentially high business impact or emergency

Reporting requirements:

To investigate and reconcile maintenance requirements and communicate/take action to resolve outstanding issues or future issues. To produce, from the system, reports on service status and operational performance and provide maintenance updates, forecasts, and progress reports to the business




Any other reasonable ad-hoc duties developed in line with the department's growth.





Desirable Experience


Experience in complex work scheduling, ideally within a field service setting IT literate and comfortable with planning applications. Proficient with Microsoft Office packages, Excel in particular. A strong desire to provide excellent service on each interaction both internally and externally. Ability to learn and work in multiple systems simultaneously Possess integrity and trustworthiness towards the company. Strong organisation skills and an eye for detail. Good verbal and written communications skills in English are essential. Genuine interest in the industry and eagerness to contribute to a developing department. Comfortable in communicating with stakeholders of all levels
