Onboarding & Engagement Coordinator

Purpose of the Role

As our Onboarding & Engagement Coordinator, you'll be an essential part of a people-focused HR team committed to delivering a consistent and professional employee experience. Reporting to the HR Specialist, you'll ensure accurate and confidential management of employee records while supporting compliance throughout the employee lifecycle.

This position gives you full responsibility for onboarding administration--from preparing contracts and offer letters to coordinating new starter documentation and system setup. You'll be the first point of contact for new hires, shaping their initial experience and ensuring a smooth, well-organised introduction to Clayton Glass.

Beyond onboarding, you'll maintain personnel files, update HR systems, and assist with audits and reporting. Your precision, organisational skills, and commitment to confidentiality will help safeguard the integrity of our employee data.

Key Responsibilities

Onboarding & Welcome Experience

Manage all aspects of onboarding administration, including preparing offer packs, conducting right-to-work checks, coordinating induction schedules, and ensuring compliance. Act as the first point of contact for new starters, delivering a warm, professional welcome and ensuring a seamless transition into the business. Continuously review and enhance onboarding materials and processes to maintain consistency and engagement aligned with Clayton Glass values.
Employee Records & HR Administration

Maintain accurate employee records across HR systems and physical files, ensuring GDPR compliance and adherence to internal policies. Prepare and issue contracts, offer letters, and other HR documentation with precision and confidentiality. Support core HR processes such as absence tracking, probation reviews, and performance management by maintaining logs and reminders. Securely file and archive HR documents in line with retention policies. Assist in compiling HR reports, metrics, and audit data.
Employee Support & Communication

Serve as a first-line contact for general HR queries, providing clear guidance and escalating complex issues to the HR Specialist. Offer administrative support to managers and employees across HR processes, ensuring clarity and consistency.
Training & Development Support

Maintain training records and assist with scheduling and tracking learning and development activities.
General HR Support

Contribute to HR projects and initiatives as directed by the HR Manager, supporting continuous improvement and operational excellence.
Skills & Attributes

Highly organised and able to manage multiple priorities. Strong attention to detail and accuracy. Ability to handle confidential information with discretion. Excellent written and verbal communication skills. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and HR systems. Professional, approachable, and supportive manner. Ability to prioritise workload and meet deadlines.
Experience & Qualifications

Minimum of 2 years' administrative experience, including confident use of IT systems such as Microsoft Office (Outlook, Word, Excel), email, and data entry tools. A minimum of National 5 qualification in English Previous experience in an administrative or HR support role desirable (but not essential). Knowledge of HR processes and employment law basics is desirable.

Location: Clayton Glass, 6 James Street, Righead Industrial Estate, Bellshill, ML4 3LU Working Hours: Monday to Thursday: 07:30 am - 4:00 pm Friday: 07:30 am - 3:00 pm 39 hours/week Some flexibility with start/finish times available Salary: 12.21 per hour [24,761.88 per annum] Positions Available: 1 opportunity.
