About the Role
We are seeking a detail-oriented and proactive
Operational Support Officer
to become a key part of our operations team at Head Office. You will be instrumental in ensuring the smooth daily functioning of our internal software systems, helping to manage data, support users, and maintain system efficiency. This role is ideal for someone with strong administrative skills and a keen interest in business software and process improvement.
Key Responsibilities
Software Utilisation & Maintenance:
Serve as a primary user and "super-user" for our core business software (One Touch Essentials).
Data Management:
Accurately manage and maintain data within our systems, ensuring data consistency and integrity.
User Support:
Provide front-line technical support and guidance to internal staff regarding the software, escalating complex issues to the IT department as needed.
Process Improvement:
Monitor software usage and operational workflows to identify inefficiencies, suggesting and supporting the implementation of new procedures.
Reporting:
Assist in preparing regular operational reports and presentations for management using data extracted from the software.
Documentation & Training:
Maintain accurate system documentation and help onboard and train new employees on software use and related operational policies.
General Operations Support:
Perform various administrative tasks to support the wider operations team and ensure smooth daily activities.
Essential Criteria
Proven experience in an administrative or operations support role.
Strong organisational skills and an exceptional eye for detail.
Proficiency in Microsoft Office Suite, especially
Excel
.
Excellent written and verbal communication skills.
A calm, problem-solving approach and the ability to manage multiple tasks and deadlines effectively.
Willingness to learn new software systems and adapt to changing priorities.
Desirable
Knowledge of and experience with care management software systems.
