The Operations Administration Coordinator plays a key role in supporting the Operations and Production functions of the business. This position ensures efficient management of company vehicles, procurement, and supplies, while also handling critical administrative duties. The successful candidate will coordinate logistics, liaise with suppliers and transport partners, manage internal systems, and provide vital administrative support to the Production & Operations Manager.
Key Responsibilities:
Administrative & Operational Support
Provide administrative assistance to the Production & Operations Manager, including inbox management and ad hoc tasks.
Maintain and organise documentation for the Operations department, ensuring all files (including European paperwork) are up to date and stored correctly.
Oversee the administration and review of employee timesheets using Connecteam, and liaise with the accounts team for accuracy and compliance.
Respond to queries and communications on our project management tool, Monday.com from the sales team and other internal stakeholders.
Procurement & Supply Chain Management
Manage procurement and stock control for office stationery, supplies, and PPE, following the appropriate purchase order and approval processes.
Conduct regular procurement reviews to identify cost-saving opportunities and ensure supplier productivity.
Negotiate purchase order supplier quotes to optimise purchasing costs and vendor relationships.
Collaborate closely with the Operations team on procurement tasks, supporting wider supply chain initiatives.
Transport & Logistics
Manage company vehicle bookings and update the Master Production Schedule (MPS) accordingly.
Coordinate transport requirements, including booking collections and deliveries.
Liaise with transport companies to secure competitive quotes for large consignments and schedule additional collections as required.
Coordinate deployment and collection of convenience stores, ensuring timely and efficient logistics.
Travel & Accommodation
Organise team travel and accommodation arrangements for off-site work, ensuring schedules and budgets are maintained.
Communication & Documentation
Ensure accurate and timely flow of information between departments using Oneflow, including delivery and collection notes, and relevant production documentation.
Verify and file receipts submitted by the Warehouse team, ensuring financial records are accurate and complete.

Qualifications & Experience:
Previous experience in an administrative, operations, or logistics support role.
Experience with procurement processes and liaising with suppliers/transport providers is desirable.
Familiarity with digital tools for task management and employee timekeeping.
What We Offer:
Remuneration: 28,000 - 32,000.00 pa
Pension: 5% employee contribution, 3% employer contribution 25 days holiday plus bank holidays.
