Role Overview
The Operations Administrator will provide vital support to the operations and project management teams. This role is essential for ensuring smooth day-to-day running of projects, maintaining accurate records, and coordinating between suppliers, contractors, and clients. The ideal candidate will be highly organised, proactive, and able to thrive in a fast-paced refurbishment environment.
Key Responsibilities
Provide administrative support to the operations team and project managers.
Maintain project documentation, schedules, and databases.
Assist with contractor and supplier onboarding, compliance checks, and paperwork.
Track project progress, budgets, and deadlines, escalating issues where necessary.
Support with procurement, including obtaining quotes and raising purchase orders.
Manage incoming calls, emails, and correspondence with landlords, tenants, and contractors.
Ensure health & safety and compliance documentation is up to date.
Assist with financial admin such as invoices, payments, and expense tracking.
Prepare reports for senior management and update project tracking systems.
Coordinate site visits, access arrangements, and logistics where required.
Skills & Experience
Proven experience in an administrative, operations, or coordinator role (property, construction, logistics, manufacturing or refurb industry experience desirable).
Strong organisational and multitasking skills.
Excellent communication skills, both written and verbal.
Proficiency in MS Office (Word, Excel, Outlook) and project management/CRM software.
Attention to detail with the ability to work under pressure and meet deadlines.
