Are you highly organised, detail-oriented, and passionate about keeping operations running smoothly? Were looking for a Projects Administrator for a 1-year fixed term contract, with strong possibility of becoming permanent, to cover maternity leave. We are looking for a motivated individual to play a vital role in our sales order processing, overseeing the progress of projects, invoicing, and providing excellent customer service.

What you will be doing




As a Projects Administrator, you'll play a key role in supporting the projects team with the ongoing installation and small works jobs, including the processing of the jobs through to completion, and also working closely with our operations and admin teams, your responsibilities will include:


Liaising with Account Managers to ensure all paperwork and confirmations are received for jobs to be processed.

Processing Job Packs from initiation to completion Coordinate with project teams to ensure timely progress of projects Liaising with customer to arrange attendances Updating Microsoft Teams for engineer packs Collating Engineer Completion Paperwork Customer Welcome Packs, SSAIB Certs, Countersigned Contracts etc URN Applications Hotels and Trains Sales & Engineering Raising POs for Hotels against jobs Logging Referrals for Account Managers Customer Care Follow Up Calls Install Invoicing and ensure accuracy in billing ID Badges Assist IT with Site details if required Assist Engineers with Matrix if required Sales Support RVRC/IT support Support to the Projects Supervisor

Who we are looking for




Were seeking someone who is:

Organised & Detail-Oriented: You can manage multiple tasks and keep of new orders and the progress of jobs Proactive & Problem-Solving: You take initiative, spot potential issues before they arise, and suggest smart solutions. A Strong Communicator: Youre comfortable liaising with engineers, suppliers, and internal teams - both over the phone and in writing. Tech-Savvy: Youre confident using software systems (ideally Simpro) and Microsoft Office. Team-Focused but Independent: You work well in a team but can manage your own workload effectively. Experienced: A background in logistics or operations, ideally with a customer service component would be an advantage
