Operations Administrator
to play a pivotal role in managing the operational, financial, and compliance functions of our business.
The Role
As Operations Administrator, you'll be at the heart of our business operations--ensuring smooth day-to-day running, financial control, and compliance across our construction projects. You will support the Directors and wider team, taking ownership of systems, processes, and communications that keep our projects and company running efficiently.
Key Responsibilities
Business Operations:
Implement and maintain administrative systems and company processes.
Oversee company registration, VAT setup, and procurement of essential business needs (logo design, website, stationery, etc.).
Develop working templates, procedures, and workflows to streamline company operations.
Financial Management:
Manage invoicing, purchase ledger, and Construction Industry Scheme (CIS) processes.
Conduct cost value reconciliations and budget tracking.
Prepare year-end financial information for accountant review and reconciliation.
Tenders & Procurement:
Coordinate tender submissions, ensuring deadlines and requirements are met.
Liaise with clients to maintain strong relationships and support project development.
Manage procurement, purchase orders, and subcontractor orders to ensure smooth project delivery.
Health & Safety Compliance:
Develop and implement pre-construction health and safety plans and on-site safety protocols.
Maintain all health and safety accreditations (CHAS, Safe Contractor, Considerate Constructors, Constructionline).
Prepare operating and maintenance manuals and compliance documentation.
Compliance & Contractor Management:
Complete pre-qualification questionnaires (PQQs) for new tenders and clients.
Ensure all contractor and supplier compliance documents are up to date.
About You
We're looking for someone who thrives in a fast-paced, hands-on environment and enjoys bringing order, structure, and efficiency to a growing business.
You'll have:
Proven experience in a construction or property-related administrative role.
Strong organisational and multitasking skills.
Solid understanding of CIS, procurement, and health & safety processes.
Excellent communication and client liaison skills.
Proficiency in Microsoft Office and general business administration tools.
