About the Role



As an Operations Administrator, you'll provide essential support to our Transport Supervisors and operational teams. You'll help maintain smooth vehicle movements, efficient driver scheduling, and accurate compliance documentation, ensuring we deliver a reliable and legally compliant transport service.

You will be at the heart of daily transport operations--supporting route planning, communicating with drivers and customers, managing vital paperwork, and ensuring our systems and records are always up to date. Your work will directly support our commitment to safe, efficient, and environmentally responsible waste management.

Hours of Work



8am to 5pm - Monday to Friday (1 in 4 weeks require an earlier start of 4am to 1pm)



Requirement to work on in every 5 weeks on a Saturday (9am to 3pm) paid an enhanced rates on top of salary.



Key Responsibilities



Provide day-to-day administrative support to Transport Supervisors and the wider operations team. Assist with route planning, vehicle scheduling, and driver allocation to maximise efficiency and reduce operational costs. Maintain accurate records including vehicle movements, driver hours, tachographs, MOTs, servicing, and compliance documentation. Liaise with drivers, customers, and depot teams to resolve scheduling, delivery, and collection queries promptly. Process driver paperwork such as delivery notes, defect reports, and fuel usage logs. Keep transport systems and databases updated with accurate and timely information. Prepare and collate reports on key transport KPIs such as utilisation, downtime, and compliance. Support legal compliance through accurate handling of waste transfer notes and duty-of-care documentation. Coordinate vehicle servicing, repairs, and inspections with internal workshops and external suppliers. Support on-boarding and training administration for new drivers and transport personnel. Provide absence cover across the wider operational admin team when needed. Contribute to continuous improvement initiatives across transport and operations.

What We're Looking For



Essential Skills & Experience



Proven administrative experience in transport, logistics, or waste management. Strong understanding of transport regulations (Driver Hours, WTD, DVSA requirements). Excellent organisational and multitasking skills with the ability to meet deadlines. High attention to detail and accuracy in data entry and record-keeping. Confident IT ability, including Microsoft Office (Excel, Outlook); TMS experience is a plus. Strong written and verbal communication skills, comfortable dealing with drivers, customers, and internal teams. Proactive problem-solving skills with the ability to think on your feet. Understanding of health, safety, and environmental standards within transport operations. Ability to work both independently and collaboratively in a fast-paced environment. Flexible and adaptable approach, including occasional out-of-hours support if needed.

Desirable



CPC Transport Administration or similar qualification such as OLAT (Desirable) Experience within the waste and recycling industry. Knowledge of waste carrier legislation and duty-of-care requirements.
