As part of our growing UK operations, we are looking for a proactive and detail-oriented Operations and Logistics Executive to ensure the efficient collection, transport, and timely delivery of biological samples to our laboratory, both domestically and internationally.
Role Overview:
As an Operations and Logistics Executive, you will play a vital support role in managing the
day-to-day operations of sample logistics
, ensuring compliance with strict regulatory standards. You will be coordinating collections, tracking shipments, managing records, and maintaining operational excellence across domestic and international supply chains.
Key Responsibilities:
Coordinate daily sample collections from clinics, hospitals, and partner sites.
Arrange international shipment, including courier bookings, documentation, and customs compliance.
Track and monitor shipments to ensure timely deliveries to the laboratory, proactively addressing delays, disruptions, or compliance risks.
Communicate with couriers and logistics partners to ensure adherence to service level agreements (SLAs).
Prepare and maintain accurate records for all collections, shipments, and deliveries, ensuring traceability and regulatory compliance.
Assist in inventory management of collection kits, packaging materials, and transport supplies.
Support the development of efficient logistics schedules and route planning.
Liaise with internal teams, courier partners, and international stakeholders to coordinate logistics and provide regular status updates.
Ensure compliance with IATA regulations, UN3373 standards, and other requirements for biological sample transportation.
Respond to logistical issues or delays promptly and support corrective action plans.
Assist in receiving and accessioning patient specimens and handover to Lab teams.
Support continuous improvement initiatives in operational processes and logistics management.
Requirements:
2-5 years of experience in operations, logistics, or supply chain support roles, preferably in healthcare, diagnostics, or pharmaceuticals.
Knowledge of cold chain logistics and handling of biological samples is highly desirable.
Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
Good communication and problem-solving skills.
Proficiency with Microsoft Office (Excel, Word, Outlook) and logistics tracking systems.
Familiarity with international shipping practices and basic customs requirements.
Flexibility to adapt to changing priorities and work schedules, including availability via phone or email beyond regular working hours and on weekends based on operational requirements.
Valid UK driving license and flexibility for occasional travel if needed.
Preferred Qualifications:
Bachelor's degree in Logistics, Supply Chain Management, Business Administration, International Business, or a related field.
Previous experience working in a healthcare, diagnostics, or laboratory environment.
Familiarity with ISO 15189, UN3373, and international customs compliance for biological materials.
Certification in the handling and transport of biological materials (IATA/Dangerous Goods Training) is a plus.
