Role Description
The Operations & Office Coordinator provides operational and logistical support to the Programme Management Unit, alongside managing the day-to-day functions of the Genesis London office. This role requires strong coordination across teams and stakeholders, efficient office management support, and proactive improvement and problem-solving.
Practice Area Description:
The Programme Management Unit (PMU) serves as a critical support function, primarily responsible for the operational and financial implementation of large projects across various sectors, including technical assistance and grant fund management. This unit is essential for generating economies of efficiency and scale, which consequently leads to improved margins and reduced organisational risks. Crucially, the PMU is a strategic tool designed to elevate the organisation's status, enabling a transition from a subcontractor role to becoming a prime contractor for major clients such as USAID and the UN, while simultaneously ensuring exemplary project and financial stewardship company-wide
Requirements
KEY REQUIREMENTS AND ROLE RESPONSIBILITIES:
UK Office and Operations Support (50%)
Act as the Genesis London office's primary liaison with suppliers and service providers and oversee office equipment, maintenance, and supplies
Coordinate and support onboarding processes for UK-based new hires, ensuring smooth integration
Process office invoices and company cards, working with Finance on assigning and reviewing the UK office running costs
Support central IT with laptop management, including setting up, tagging, and repairs
Manage communication and office updates, as well as the office desk booking system
Coordinate and support logistics for meetings and UK events as requested, including venue booking, equipment setup, invitations, and preparation of agendas and materials
Assist with the preparation of presentations, briefing packs, and project documentation
Support the Comms team in the development and printing of marketing promotional material
Serve as on-site support for visitors and coordinate with other global offices (South Africa, Kenya, Nigeria, Cote D'Ivoire) as required
Programme Management Unit Operations Support (40%)
Provide operational support to deliver organisational initiatives, managing workplans, timelines, and stakeholders.
Support the development of strong communication and training plans.
Support organisational strategic initiatives focused on project management processes and systems, with a particular focus on AI improvements and automation.
Assist with knowledge management initiatives, ensuring information is well-organised and accessible.
Assist with the coordination of travel security protocols and guide the standardised approach, including due diligence and approvals.
Other Responsibilities (10%)
Promote digital collaboration and productivity tools (e.g., Google Suite, generative AI tools) as part of daily work.
Perform additional duties as agreed to support PMU initiatives and project teams.
EDUCATION, KNOWLEDGE, SKILLS, EXPERIENCE AND PERSONAL COMPETENCIES:
Experience in business administration, office management, operations or project coordination role, preferably within a consultancy or humanitarian environment.
Experience in managing improvement initiatives, coordinating workshops, or logistical arrangements is highly desirable.
Strong planning and coordination skills, particularly across distributed teams and hybrid environments.
High level of numeracy and familiarity with basic financial documents.
Proficient in the use of Google Suite applications (Docs, Sheets, Slides, Calendar).
Agility in adapting to and applying Generative AI tools.
Confidence and clear communication skills, both written and verbal.
A highly organised and structured approach to work with meticulous attention to detail.
Proven ability to work in a busy, fast-paced environment, demonstrating a solution-driven and positive attitude that allows for initiative and resilience.
Proficiency in managing confidential and sensitive information with discretion.
Confident working across geographies, cultures, and time zones and with remote teams.

Location: London
Contract: Permanent, hybrid model. The job holder is expected to be in the London Holborn office at least 3 days a week.
Salary: 29K - 35K per annum maximum.
