Overview
We are seeking a detail-oriented and proactive Operations Assistant to support the smooth running of our day-to-day business activities. The successful candidate will assist with administrative tasks, coordination between departments, and operational processes to ensure efficiency across the organisation. The candidate will work closely with the Head of Operations and Managing Directors to assist with delivery of the overall business plans.
Key Responsibilities
Provide administrative support to the Head of Operations and wider team.
Assist in coordinating daily business operations, including scheduling, reporting, and record-keeping.
Maintain and update company systems, databases, and documentation.
Liaise with suppliers, contractors, and service providers as required.
Assist with compliance of company policies, health & safety standards, and quality control procedures.
Maintain and update company Health & Safety records, risk assessments, and compliance documents.
Maintain and update staff training records, ensuring all certifications and qualifications are current and logged.
Assist with internal communication and coordination across departments (e.g., sales, warehouse, accounts).
Organise meetings and correspondence for management.
Handle incoming queries and provide customer support where needed.
Complete grant applications, including gathering supporting documentation, ensuring deadlines are met, and maintaining accurate records of submissions.
Assist with completing tender documentation for local authority contracts, ensuring compliance with requirements and timely submissions.
Contribute to process improvement and efficiency projects within the operations team.
Skills & Attributes
Strong organisational skills with the ability to manage multiple tasks and priorities.
Excellent communication skills, both written and verbal.
High attention to detail and accuracy, especially in formal written submissions such as grant applications and tender documents.
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Problem-solving mindset with a proactive approach to tasks.
Required Experience & Qualifications
Previous experience in an administrative, coordination, or operations support role.
Good at working with people and building relationships.
Able to work independently and manage your own workload.
A proven track record of working in a similar role for 5+ years and/or further education or vocational qualifications in business administration or a related field advantageous.
Desired (but not essential) Experience & Qualifications
Experience maintaining health & safety compliance records and staff training documentation.
Experience in preparing and submitting grant applications or funding bids.
Experience of completing tender documentation for local authority contracts.
Experience of complying with ISO certifications and supporting audits.
Knowledge of supply chain, logistics, or business operations.
