To support the smooth day-to-day running of Waterside Medical Practice by assisting with operational tasks, quality improvement initiatives, digital communications, and administrative support to the management team.

Key Responsibilities:
Operational Support
Add, manage, and monitor appointment slots across clinical systems (SystmOne).
Liaise with clinical and administrative teams to ensure appointment availability aligns with demand.
Support Rota planning and clinic scheduling.
Manage templates and inductions for GP registrars, medical students and new staff.
Annual leave management across the teams
Significant event reporting
Manage the weekly room rota for clinicians
Manage the cover rota for the redistribution of work when clinicians are on annual leave.
Quality & Data Searches
Run and interpret clinical searches and audits (e.g., QOF, IIF, PCN DES).
Assist in preparing reports and dashboards for quality improvement and compliance.
Maintain accurate records for CQC and other regulatory requirements.
Digital Communications
Maintain and update the practice website with current information, policies, and news.
Maintain practices Team Net platform, including mandatory training, policies and protocols, annual leave and rotas.
Manage social media accounts (e.g., Facebook) to share health campaigns, service updates, and community engagement.
Monitor digital feedback and respond appropriately or escalate.
Support practice text campaigns (Flu, Covid, health awareness)
Administrative & Management Support
Provide administrative support to the management team, including minute-taking, diary coordination, and project tracking.
Assist with internal communications and staff updates.
Support recruitment, onboarding, and training logistics.
Skills & Experience:
Experience in a healthcare or administrative setting (NHS experience desirable).
Proficiency in Microsoft Office and clinical systems (SystmOne).
Familiarity with digital platforms and social media tools.
Strong organisational and communication skills.
Ability to handle sensitive information with discretion.
Desirable Qualifications:
NVQ Level 3 in Business Administration or equivalent.
Training in data protection, safeguarding, and NHS digital tools.
