Job Title: Operations Assistant

Reports to: Operations Manager

Date: May 2025

Days: Monday - Friday

Hours of Work: 9:00am-6:00pm, 1 hour lunch break
Place of Work: Fully remote with occasional travel, must be London-based.

About the company



Parcel SafePlace is a parcel logistics solution designed for large residential properties. We configure, provide and support the hardware installed into our clients' properties across the UK, as well as manage our own bespoke software(s). We are a small friendly team.

About the role



We need someone to grow into the role of Operations Assistant. You will need to work in an organised manner and proactively to provide administrative assistance to the business. You will be required to resolve customer queries for our key service via customer liaison and eventually become more comfortable working with our bespoke software suite. Training will be provided.

Key Responsibilities:



Administrative Support:



Manage calendars, schedule meetings, and coordinate appointments for the operations team. Prepare and organise documents, reports, presentations, and correspondence. Handle incoming and outgoing communications, including phone calls, emails, and mail. Maintain and update databases, records, and filing systems.

Operational Assistance:



Support the Operations Manager in overseeing daily operational tasks and projects. Help with the preparation and processing of forms, orders, and other operational documents. Monitor and report on key operational metrics Identify and suggest areas for operational improvement and efficiency.

Team and Stakeholder Support:



Provide excellent customer service to our residents, clients, and other stakeholders. Assist with the onboarding and training of new employees. Facilitate communication and coordination between different departments.

Qualifications:



Proven work experience in an administrative, operations support, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software programs. Strong organisational and time management skills with the ability to multitask and prioritise effectively in a fast-paced environment. Excellent written and verbal communication skills. Outstanding interpersonal skills and the ability to build rapport with diverse individuals. High level of accuracy and attention to detail. Proactive, self-motivated, and able to work independently with minimal supervision. Problem-solving abilities and a willingness to learn and adapt to new challenges.

Desired Skills:



Experience with Canva and HubSpot. Knowledge of project management methodologies. Experience with data entry and basic data analysis.
