To provide operational and administrative support to HMM's feeder operations, including acting as a backup for feeder and out-port terminal service activities. This role is responsible for processing and auditing various feeder service invoices, consolidating and producing statistical data for management and performance reporting, and supporting the department with general administrative tasks.
MAIN JOB RESPONSIBILITIES:
Ensure the timely administration and maintenance of tariffs and rate inputs for feeders and terminals within the internal COMPASS system, including BAF/ETS/FUEL EU calculations and implementation.
Assist with day-to-day operational inquiries from local European offices regarding feeder services.
Process, approve, and input a range of invoices related to feeder service operations, ensuring accuracy and compliance.
Support the handling of IMO/OOG applications and monitor feeder service schedules.
Assist in cost auditing and control for feeder service invoices.
Troubleshoot and resolve routine and moderately complex issues raised by local HMM European offices, third-party agents, and EHQ departments in relation to invoice processing and COMPASS system functionalities.
Identify and recommend improvements to internal terminal and feeder systems (COMPASS).
Respond promptly to requests for rate and invoice information from various internal stakeholders, including EHQ and headquarters departments.
Support the Manager on special projects and operational studies as required.
Compile and present reports for management meetings, including cost performance monitoring for the Manager.
Monitor and report on internal contract compliance issues to the Manager.
Provide backup support for out-port terminal service issues, invoicing, rate input, and rate requests during the absence of the responsible team member.
Prepare feeder space forecasts and produce weekly, monthly, and annual reports for management review.
PERSON SPECIFICATION
WORK SKILLS, GENERAL AND SPECIALIST JOB KNOWLEDGE:
Prior experience in container shipping is advantageous, or experience in a similar office-based administrative role involving invoice processing and basic reporting.
Proficiency in Microsoft Excel at an intermediate level is essential.
Familiarity with feeder services within a shipping line would be an advantage.
Strong skills in Microsoft Office applications and experience using in-house computer systems are required.
