dedicated and dynamic Operations Coordinator

About the role



As Operations Coordinator, you will:

? Lead by example as an outstanding team member and role model.

? Deliver high standards of support functions for pupils and employees in all non-teaching areas of the school's operation, including reception, and site.

? Manage the H&S and premises compliance.

? Responsibility for procurement and the day-to-day management of the school fund, with support and oversight from the Trust's central finance team

You will be:

? A keen interest in the delivery of high-quality services in a school environment

? Proven success in the management of an excellent support function within a school or organisation.

? Experience of motivating staff and developing team members to achieve good customer service.

? Excellent planning, organisational and time management skills.

? Demonstrable success at developing and implementing continuous improvements.

? An ability to problem solve and willingness to get involved in everything that comes with the exciting and fulfilling day to day function of a primary school.

JOB DESCRIPTION



Job Title:

Operations Coordinator

Responsible to:

Headteacher

Main Duties



? Legal Compliance for H&S

? Procurement

? Human Resources

? Premises Management

Finance



? Oversee all aspects of purchase orders, invoices etc and in a timely manner

? To monitor expenditure and income against the budget on a regular basis and liaise with the Headteacher.

? Monitor & manage stock within an agreed budget, cataloguing resources & undertaking audits as required.

? Assist the Trust Finance Department in ensuring compliance for annual audits

? Ensure compliance with the financial requirements of the Financial Academies Handbook, EFA regulations, HMRC and Charities Commission

? To administer the school's voluntary funds, ensuring that accounts are prepared and audited annually

? To review contracts and ensure best value of money is obtained

? To be responsible for ordering goods and services, in line with Standing Orders and Financial Regulations

? To provide benchmarking data to the Headteacher and BET

? To provide financial information for the preparation of the required data for statutory reporting such as Pupil Premium and Sports Grants

? To be the point of contact for all financial matters in the school

? Supporting the Internal Audit Committee if requested

Premises and Health & Safety



To be responsible for the overall management and maintenance of the buildings and grounds of the school, To ensure records relating to statutory monitoring of premises functions are maintained including the asbestos register, water quality, fire alarm and emergency lighting testing To ensure the school's fire procedures are up to date and meet legislative requirements To be responsible for ensuring that the security of the building is maintained at all times To liaise with the Bohunt Premises Team regarding day to day maintenance issues To strategically plan a programme of building maintenance and repair/improvement To review, monitor and implement the school's Health and Safety policy, including the maintenance of Risk Assessments To implement systems for the effective monitoring, measuring and reporting of Health and Safety issues To undertake Health and Safety Audits on a regular basis in liaison with the Caretaker and other relevant staff, reporting any major issues to the Headteacher and Governors

HR



To be responsible for all personnel administration, appointments and resignations

To assist the Headteacher in the process of staff appointments including recruitment checks and induction records

Ensuring that the Single Central Record is maintained

Ensure that all legal processes are followed at all times

To carry out staff induction for office and school support staff

To provide advice on personnel matters to staff and management on pay, contract related issues and staff policies

To maintain accurate personnel records, including staff contracts, staff sickness and other absences

To be the point of contact with the Trust and other agencies with regard to staffing matters, and prepare required staffing returns to the LEA

To maintain training records, and book courses as required

Administration & Safeguarding



? Manage records, information & data, producing analysis & reports.

? Ensure the efficient and effective use of the school assets including buildings and equipment.

? Undertake other such duties as reasonably assigned by line management

? Responsible for ensuring enquiries are dealt with expediently and efficiently.

? To work as part of the administrative team to ensure that the school's admin function is operated to the highest possible standards

? To ensure that all procedural, legal and health and safety requirements are met within the school administration function, including appropriate record keeping, complying with data protection and other legislative requirements

? To maintain an asset register, ensuring that the inventory of all equipment is kept up to date

? To support all aspects of school life, including the core values of the school

? Proven success in the management of excellent administrative, technical, clerical and customer service support functions in a fast-paced environment

? Experience of delegating to and motivating staff

? Experience of working effectively with a wide range of external partners and agencies

? Experience of dealing with and managing enquiries from parents, public and staff.

? Experience of making changes to continuously make improvements.

? Experience of budgetary management and control

? Successful and relevant leadership experience

? An understanding of school management issues and the role of the Governing Body.
