About The Role



Knight Frank is looking to hire an Operations Coordinator to join their Head Office in Baker Street.


Role:



The Student Living team are seeking an individual who can deal with a range of responsibilities, someone who is also highly organised and proactive with a high level of personal initiative.


The role will include general administration and support for the team including collaborating with colleagues from across the team and the broader business to improve the efficiency and effectiveness of our real estate professional.


Responsibilities:



Financial and Reporting Management



Oversee invoicing processes, including issuing invoices, managing the monthly billing schedule, and tracking fee income. Manage fee reconciliation, bad debt reporting, and liaise with the accounts team for regular reviews of debtors. Prepare and present weekly financial and performance reports to senior management. Support Work in Progress (WIP) and budget meetings for the Student team. Attend management and accounts meetings as required to review financial performance and operational efficiency.

Compliance, Systems and Process Management



Ensure all best practice guidelines are adhered to across the teams. Monitor and uphold GDPR compliance and data protection standards. Oversee team training completion, ensuring compliance modules and office updates are up to date. Maintain and monitor the effective operation of CRM (HUB) and Knight Frank systems within the department. Support onboarding of new starters, coordinating system access, inductions, and IT requests.

Valuation and Agency Support



Onboard new instructions (COI, CDD, Counterparty CDD, Contacts, master list, referrals). Format valuation reports and assist with comparables where required. Use the Knight Frank Workspace to create terms of business and reports. Assist with VAC forms and audit preparations. Maintain the team's Work in Progress schedule. Book travel for the team. Support onboarding of new graduates every six months.

Marketing and Business Development Support



Collaborate with the Marketing team to plan and coordinate events, including client functions and internal initiatives. Assist with marketing collateral such as track records, CVs, and pitch packs. Maintain and update website content and landing pages. Create and send Dotmailer (EDM) campaigns as required. Submit PR requests and liaise with internal marketing teams on approvals and activity. Support social media activity, particularly LinkedIn and Instagram. Arrange team photography and headshots. Contribute to charity and volunteering initiatives and track progress toward team goals.

Administrative & Team Support



Coordinate IT self-service requests for team members, including new starters and temporary staff. Process expense claim forms for partners on a bi-monthly basis. Organise business generation events, client meetings, and lunches. Maintain the team holiday diary and support general scheduling requirements. Assist with partner diaries, arranging meetings with clients and internal stakeholders. Keep the CRM system (HUB) up to date with client information, referrals, and interactions. Assist with pitch preparation (typically PowerPoint) and meeting materials. Prepare agendas, reports, and papers for internal and client meetings. Monitor subscriptions and professional memberships, ensuring renewals are up to date.

Key Experience and Skills Required



2+ year experience in a similar/support-based role preferred Real estate experience preferred Proficient with Microsoft packages including PowerPoint, Excel, and Word.
