The Operations & Executive Assistant provides high-level, proactive support to the CEO across the 2Funky Group (2Funky Arts, 2FunkyComplex, and 3 Little Birds). This all-rounder role blends executive PA duties, operational support, and project coordination, ensuring the CEO's day-to-day activities and the wider organisation run smoothly.
Key ResponsibilitiesExecutive & Personal Assistance
Manage the CEO's diary, scheduling meetings, appointments, and events across all group entities.
Screen, prioritise, and respond to emails and correspondence on behalf of the CEO.
Organise travel, accommodation, and logistics for the CEO, team members, and artists as required.
Prepare agendas, take minutes, and follow up on actions for meetings.
Act as the first point of contact for internal and external enquiries directed to the CEO.
Operations & Administration
Support the development, implementation, and review of operational processes and policies.
Assist in coordinating projects and events across 2Funky Arts, 2FunkyComplex, and 3 Little Birds.
Liaise with staff, volunteers, partners, and stakeholders to ensure smooth operations.
Maintain confidential records, files, and databases as required.
Provide general admin support, including document management and staff coordination.
Digital Tools & Systems
Confidently use digital tools such as Google Drive, Motion, WordPress, Mailchimp, Dropbox, and other relevant platforms to support operations and communication.
Help maintain digital records, shared calendars, and project management systems.
General Support & All-Rounder Tasks
Provide ad hoc support for projects, events, and initiatives as directed by the CEO.
Assist with basic research, data gathering, and preparation of briefing materials.
Be flexible and proactive, stepping in to support wherever there are operational gaps or urgent needs.
Person SpecificationEssential
Proven experience as an Executive Assistant, Personal Assistant, Operations Assistant, or similar role.
Experience supporting senior leadership, ideally across multiple projects or business areas.
Strong organisational and time management skills, able to juggle multiple priorities.
Excellent written and verbal communication skills.
Discreet, trustworthy, and able to handle confidential information.
Confident using digital tools (Google Drive, Motion, WordPress, Mailchimp, Dropbox, etc.).
Proactive, adaptable, and solutions-focused, with a willingness to pitch in across a variety of tasks.
Ability to work independently and as part of a team.
Desirable
Experience in non-profit, SME, hospitality, or commercial environments.
Familiarity with the arts, music, or creative industries.
Experience supporting event logistics and artist hospitality.
