About the role



TaxAssist Accountants Edinburgh East are looking for an Operations Manager to take ownership of the day-to-day running of the practice across our four shopfront locations.

This is a hands-on operational role. You will be responsible for making sure the business runs smoothly, clients are looked after properly, and key administrative, compliance and financial processes are kept on track.

This role will suit someone who enjoys operational responsibility, likes having visibility across the whole business, and takes pride in things being done properly. It is not a strategic or people-management role, and it is not a stepping-stone position. You will be central to how the practice operates day to day.

You will work closely with the business owner and the wider management team, and once fully established in the role, you will be encouraged to help improve efficiencies and systems, including through better use of automation.

Key responsibilities



Prospects and clients



Managing prospect packs, database and no-show follow-ups Overseeing new client onboarding, including TaxCalc setup, registrations and agent authorisations Company incorporations and initial compliance processes Handling professional clearance and client disengagement processes

Client payments



Managing client payments - issuing invoices, receiving payments, oversight of potential cash and helping ensure team reach targets. Managing direct debits, including set-ups, amendments, and cancellations. Reviewing credit card reconciliations and cash reports

Limited company compliance



Coordinating limited company accounts and corporation tax processes Managing e-signs, submissions and confirmation statements Dealing with company closures

KPI reporting



Preparing and reviewing weekly and monthly KPI reports Monitoring targets and highlighting trends or issues

Office and practice administration



Preparing and managing rotas across four offices Coordinating repairs and maintenance Managing alarms, inbound voicemails and office signage Handling address changes across TaxCalc, HMRC, Companies House, VAT and payroll systems Co-ordinating tax return reminders throughout the year

Team support and onboarding



Supporting new employee onboarding and training administration Managing team birthdays and work anniversaries

What we're looking for



Experience in practice management or a senior operational role within accountancy or professional services Strong organisational skills and attention to detail Confidence managing multiple processes and priorities at once Comfortable taking ownership and seeing tasks through properly Proactive, calm under pressure and people-focused

Working pattern



This is a full-time office based role working 9am-5pm, Monday to Friday.
The role is based across our four locations in Dalkeith, Easter Road, Fairmilehead and Musselburgh. Once established, most team members typically work across two to three offices per week.

Pay: 30,000.00-38,000.00 per year
