Operations Manager (Maternity Cover)



We're a small, fast-paced recruitment company based in Hove, working mostly with US tech startups and scaleups. Our Operations Manager (aka our glue, engine, and fixer) is heading off on maternity leave -- and we're looking for someone to step in and keep everything running smoothly while she's away. While this role is initially maternity cover, there may be opportunity for the right person to continue with us beyond this period.

This is a hands-on, varied role where you'll work closely with The Founder of the business and the wider team of 5 -- helping us stay organised, on track, and one step ahead of any potential hiccups. One day you might be booking boats for a team offsite in Lisbon, the next you're on the phone to the water company sorting a delivery issue. It's that kind of role.

We're not like typical recruitment firms. As a small, scrappy, and growing team, we work collaboratively toward a shared goal. Everyone wears multiple hats and supports each other to keep things moving efficiently -- from operations and finance to logistics and client support.

While we don't officially work US hours, we do support US-based clients -- so occasional flexibility for evening work is expected.

What the role involves:



Working closely with the founder to keep day-to-day operations on track Organising internal schedules, keeping team projects moving, and spotting blockers before they happen Scheduling interviews across multiple time zones using Teams, Google Meet, Calendly, and HubSpot Formatting candidate resumes into our in-house style to ensure consistency and professionalism Managing invoicing, forecasts, quotes, and tracking financial performance Drafting and reviewing terms of business and other client documents Coordinating client meetings and helping with business development Keeping our systems (CRM, VoIP, LinkedIn Recruiter, SourceWhale, HireAra) ticking over Planning team offsites, perks, and activities Booking travel (sometimes across multiple countries and time zones) Acting as the operational backbone by anticipating team needs, removing obstacles, and ensuring the team has the resources and support to focus on what they do best Staying on top of compliance (GDPR, H&S, internal docs etc.)

About you:



You've got experience in an operations or business support role, ideally in a fast-paced or startup environment You're meticulously organised, keep a cool head, and enjoy solving problems before they become actual problems You're commercially aware and confident working with numbers, quotes, invoices, and contracts You're tech-savvy and comfortable using tools like Slack, Xero, Coupa, Excel, Loxo (or other CRMs), Canva, and PowerPoint You don't mind switching gears quickly or wearing a few different hats in a day You're a hustler with drive who gets things done and keeps the energy high You thrive in a fast-paced, loud environment where everyone wears multiple hats and pushes forward Bonus points if you have an interest in tech, startups, or the VC/PE world
Job Types: Full-time, Temporary
Contract length: 12 months

Pay: 25,000.00-30,000.00 per year
