Operations Manager

Company Overview

: Flawless UK Vape Distribution is one of the largest vape distributors in the UK, supplying over 10,000 accounts with 12,000 SKUs. We stock a large range of vaping products from the best brands around the world. The products we carry are all TPD compliant and meet the strict safety and quality standards set out in the UK and Europe. As the largest distributor of vaping products in the UK, we get our hands on the latest products before the competition. Flawless has established itself as a leader in the market of VAPE and CBD products. The company has seen year on year growth of the business and has recently moved to bigger premises to expand our operations. Due to continued growth, we are looking to expand our team.

The Operations Manager will be responsible for overseeing the day-to-day operations of the business, with a primary focus on warehouse management. The successful candidate will be hands-on, process-driven, with experience of managing large teams. A key focus on developing internal systems and performance metrics to ensure smooth and efficient operations across the business.

Key Responsibilities

Operational Management

Oversee all daily operational activities, including Warehouse, Distribution and logistics. Ensure timely and accurate order fulfilment, stock management, and dispatch. Maintain high standards of accuracy, productivity, and efficiency across all operational teams. Identify, develop, and implement process improvements to enhance operational performance and cost-effectiveness. Manage and monitor stock control, stock movements, stock accuracy, and cycle counts. Ensure compliance with workplace Health & Safety, and oversee the security of the building.

Warehouse

Optimise warehouse layout for efficient picking, packing, and storage. Manage stock movements between multiple internal warehouses. Oversee and implement Warehouse layout improvements.

Staff Management

Lead and support the warehouse and operations team to achieve business objectives. Define clear roles and responsibilities Manage shift patterns and schedules to maintain optimal coverage and reduce waste. Support PDP (Personal Development Plans) and training programs for all team members Promote a culture of continuous improvement, accountability, and teamwork.

Reporting & Performance Management

Prepare regular operational reports and insights to support business decision-making. Monitor and report on Key Performance Indicators (KPIs), including:
- Picking rates and errors

- Units picked vs. costs

- Staff allocation and labour cost analysis

- Goods In analysis

- Return rates and handling time

- Production reporting by SKU and cost analysis

Develop and maintain management control systems for operational efficiency tracking.

Projects & Continuous Improvement

Lead and coordinate key operational projects, including:
- Bonded warehouse setup and compliance with regulatory/legal requirements (WEEE, packaging, batteries).

- Waste management improvements, including baler waste management and collection cost reduction (e.g., Veolia, 3B Recycling).

- Disposal and clearance of old or obsolete products (liquids, vapes, returns).

Drive warehouse shift scheduling improvements and staff recruitment Continue implementation and monitoring of Personal Development Plans, stock counting, and warehouse reporting systems.

General Duties

Prepare and maintain Standard Operating Procedures (SOP) for all Operational functions. Establish and track Operational metrics and KPIs for performance oversight. Provide cover and undertake additional duties as required Collaborate with all departments to ensure seamless business operations.

Qualifications and Experience

Proven experience in Operations Management, preferably within a face paced environment with strong warehouse knowledge. Strong leadership and team management skills with experience developing and mentoring staff. Excellent understanding of Warehouse Management Systems (WMS) and Logistics software. Strong analytical and reporting skills; proficiency in Excel or similar tools. Knowledge of H&S, and compliance standards relevant to Warehouse Operations.
Salary: 60,000-70,000, Hours: 9AM - 6PM
