This is a great opportunity for an enthusiastic, trustworthy and hardworking individual to join our GP practice team.

Llanfair Surgery is looking for an experienced manager to work with and support the Practice Manager in aspects of practice management. This position is integral in ensuring the daily operational duties of the practice are met in line with the General Medical Services (GMS) contract Wales and statutory responsibilities.

MAIN PURPOSE OF POST:



To support the Practice Manager in order to meet business need, address issues as they arise and to keep the service running smoothly.

JOB SUMMARY:



To ensure the smooth and efficient running of the surgery by providing leadership and support in:

Delivery of GMS services and medical services.

Premises management including health and safety, risk assessment and mandatory staff training.

Line management, including staff appraisals and HR management.

Staff appraisal and organisation of mandatory training requirements.

Contributing to the GP Registrar Rotation and medical student education programmes.

Clinical IT management and IT governance.

Management and maintenance of IT infrastructure.

Organisation of annual vaccination programmes.

Implementing and managing change.

Project management and implementation

ESSENTIAL DUTIES AND KEY RESPONSIBILITIES:



In conjunction with the Practice Manager, ensure the practice maintains compliance with its GMS contractual obligations.

Contribute in ensuring the practice achieves all Quality Improvement Framework targets (QIF) (supported by the nursing, administrative and Practice Manager) i.e. active clinical indicators, Practice Quality Assurance, Quality Improvement projects, Access Standards and GP Collaborative initiatives/action plans

Involvement in the recruitment, employment and induction of all non-GP staff.

To maintain staff records and coordinate annual staff appraisals.

Ensuring all staff have the appropriate level of training enabling them to carry out their individual roles and functions.

To contribute to the management of the GP Registrar rotation and medical student education programmes, including induction.

Be responsible for IT management and compliance, including Information Governance.

Oversee the smooth delivery of annual vaccination programmes.

Assisting management to meet day-to-day demands, managing pressures and meeting deadlines.

Takes initiative and makes decisions.

Prioritises and uses time effectively and efficiently.

Respond to enquiries and answer questions from clinicians, patients, staff and refer to appropriate person/services as necessary.

Provide administrative support to the Practice Manager as per their direction, including preparation of correspondence, documents and reports, scheduling of meetings etc.

Maintain a positive working relationship with all employees of the practice.

Contribute to change and improvement initiatives.

Liaise with third-party contractors.

Identify practice improvement work/projects for future grant applications.

Develop and facilitate an in-house practice meeting programme.

Contribute to the implementation of new clinical services and administrative solutions.

Identify and apply new practice policies, standards and guidance when needed.

Participate in audit as required.

Maintain links and working relations with external agencies.

Carry out searches, producing reports for clinicians and Practice Manager as necessary.

Involvement in the claims process for non-GMS work.

Administer Disclosure Barring Service (DBS) applications.

Supporting the practice manager and partners in whatever role necessary to meet service provision.

PERSON SPECIFICATION:



A-Level (A-C), Degree level study or evidence of further education, training and continuous professional development (essential).

Management experience (essential).

Have a track record of successfully leading a team (essential).

Strong IT skills-(including software programmes, Microsoft Outlook package, clinical databases, template creation) (essential).

Experience in working within a healthcare setting (preferred).

OTHER REQUIREMENTS:



Welsh speaker (desirable).

Flexibility to work outside of core business hours to meet demand.

High level of integrity and loyalty.

Employment subject to Disclosure Barring Service (DBS) check.

General practice continues to change, and the post holder will be expected to assist, manage new pathways, contract changes and service delivery. Therefore, this job description is not exhaustive and may be adjusted periodically after review and consultation. You will be expected to carry out any reasonable duties which may be requested from time to time by the Practice Manager or Partners to meet the needs of the business and within the remit of your skills and expenses.

Llanfair Surgery is a friendly, forward-thinking GP practice sited in the rural town of Llandovery, Carmarthenshire.

We have a branch surgery, Meddygfa Cadog located in the village of Llangadog, some 5.6 miles from the main surgery with limited opening hours.

We are a 5 Partner, Dispensing, Emis Practice with a list size of 5,600 patients. Compromising 2 Salaried GPs, 2 Practice Nurses and an HCA. Our administration, reception and dispensing team are an excellent, reliable and hardworking group of individuals who will provide you with great support. Applicants should have evidence of skills and experience in a relevant role. Experience in a similar role with an understanding of GMS is preferred but it is not an essential requirement.
