YES Manchester Newton Heath (M40 2TP) and Collyhurst (M40 7GH), with outreach across Greater Manchester if required

Salary:

33,000 - 36,000

Contract:

Full-time & permanent (part-time and interim will be considered).

Hours:

35hrs p/w Monday-Friday (flexible working considered)

1. Purpose



To ensure the smooth and efficient operation of YES Manchester through strong systems, data management, and partnership coordination. The Operations Manager plays a key role in supporting the CEO with the overall running of the organisation, ensuring services operate safely, efficiently, and in line with YES Manchester's values.

This role provides direct line management to the Operations Administrator and Cleaner and works closely with the Employability Manager to ensure operational systems, data, and reporting processes effectively support service delivery and performance. The postholder leads on organisational data collection and reporting to funders, partners, and the Board, using insights to inform continuous improvement and strategic planning.

The Operations Manager also oversees supplier relationships, CRM management, and operational compliance, ensuring high service standards, value for money, and the effective use of digital tools. The role contributes to strategic planning, funding development, and partnership growth, helping to strengthen the organisation's impact, resilience, and reputation across Greater Manchester.

2. Responsibilities



2.1 Leadership and Management



Provide line management to the Operations Administrator and Cleaner, ensuring clarity of roles, professional development, and a supportive working environment Work closely with the Employability Manager to ensure operational systems and resources effectively support frontline delivery Chair operational/performance meetings and contribute to team communications to ensure smooth coordination between functions Provide supervision, coaching, and guidance to staff within areas of responsibility, including GDPR and IT confidence Act as delegate for CEO responsibilities during periods of absence, within agreed parameters Promote a positive organisational culture that reflects YES Manchester's values and commitment to empowerment

2.2 Service Delivery and Operational Oversight



Oversee the operational running of YES Manchester's community centres and outreach locations Ensure facilities, systems, and resources enable effective and safe service delivery Lead on the use of data and reporting tools to provide insight on performance, customer outcomes, and impact Ensure safeguarding, equality, diversity, and inclusion standards are embedded in operational processes Maintain oversight of health & safety, accessibility, and operational risk assessments

2.3 Data, Systems, and Reporting



Lead on data management, ensuring accuracy and compliance across CRM and reporting systems Develop performance dashboards and reports for funders, partners, and the Board of Trustees Work with the Employability Manager and CEO to analyse data trends and inform decision-making Oversee the relationship with CRM providers, ensuring functionality, reliability, and value for money Support continuous improvement through effective use of digital tools and process automation

2.4 Stakeholder Engagement and Partnerships



Manage relationships with key suppliers, contractors, funders and employers Work with external organisations to ensure high-quality support services and value for money Collaborate with the Employability Manager and CEO to strengthen relationships with funders, training providers, employers, and VCSE partners Represent YES Manchester at operational and partnership meetings where required Oversee website suppliers and contribute to maintaining a strong digital presence

2.5 Financial and Compliance Oversight



Support financial administration, including delegated budget tracking and purchase approvals Use QuickBooks and other systems to monitor spend, reconcile invoices, and prepare reports Review and negotiate supplier contracts to ensure cost-effectiveness and compliance Ensure GDPR, data protection, and confidentiality are maintained across all systems and functions Produce accurate, timely reports for the CEO, trustees, and external stakeholders Take minutes at board meetings and maintain accurate records of decisions and actions Support the maintenance of quality standards and accreditation frameworks

2.6 Communications and Public Engagement



Prepare and present operational and performance reports to the CEO, Board, and external partners Support public-facing communications and organisational updates Work with social media volunteers and staff to develop content showcasing impact, customer stories, and partnership successes Contribute to promoting YES Manchester's mission and services within the community and across Greater Manchester

3. Person Specification

Essential



Proven experience in managing or coordinating operational or organisational systems within a community, charitable, or service-focused environment Strong experience in data management, analysis, and reporting for funders, boards, or senior management Proven ability to manage supplier and contractor relationships to achieve value for money and quality outcomes Excellent understanding of CRM systems, digital tools, and their application in service delivery and performance improvement Demonstrable ability to oversee compliance areas including GDPR, health and safety, and safeguarding Financial awareness with experience supporting budgeting, invoicing, and procurement processes Excellent written and verbal communication skills, including the ability to prepare clear reports and presentations Strong organisational and problem-solving skills, with the ability to prioritise and meet deadlines Collaborative and adaptable, with the ability to work effectively across teams and with external partners Values-driven, patient, and professional, with a commitment to equality, inclusion, and empowering others

Desirable



Relevant Level 6 qualification or equivalent experience Relevant Management or Operations qualification Experience in CRM administration or database improvement projects Understanding of funding and contract management processes within the VCSE sector Experience supporting or contributing to funding bids and proposal writing Networking and presentation experience with funders, partners, or community stakeholders Full UK driving licence
