Purpose of the Role



To ensure the smooth running of Forgotten Women's fundraising operations by managing logistics, processes, compliance, and systems that underpin fundraising and volunteer activities. The Operations Officer will streamline workflows, support major fundraising events, and help achieve the organisation's overall

5.25m income target by Ramadan 2026

They will also have a supporting

income facilitation target of 200k

, ensuring that fundraising activities, systems, and operations directly enable and sustain income generation.

Key Responsibilities



1) Fundraising Operations Support



Oversee operational planning and delivery for fundraising events, campaigns, and volunteer activities. Manage logistical arrangements for events (venue bookings, equipment, travel, stock, permits, etc.). Support fundraising teams with systems setup (CRM, donation tracking, inventory management). Develop and maintain process maps for campaign delivery to ensure efficiency and consistency.

2) Financial & Administrative Management



Process income from fundraising and volunteer collections with finance, ensuring accurate reconciliation and reporting. Oversee petty cash, supplier payments, and expense claims. Support Gift Aid and donation processing systems. Prepare regular operational and financial reports for management.

3) Compliance, Safeguarding & Risk



Maintain and enforce safeguarding, health & safety, and data protection policies. Ensure risk assessments are completed for all events and activities. Coordinate with Safeguarding Lead to ensure volunteers and fundraisers meet policy requirements.

4) Logistics & Resource Management



Manage charity materials (collection buckets, banners, merchandise, marketing stock). Track distribution and collection of assets for fundraising teams and volunteers. Support warehouse or onsite operations during peak campaigns (e.g., Ramadan).

5) Process Improvement & Systems



Identify operational bottlenecks and propose efficiency improvements. Support CRM (Salesforce/HubSpot/Charity CRM) setup, tagging, and workflow automations. Train staff and volunteers in system use and data entry best practices.

6) Cross-Team Coordination



Act as the operational bridge between fundraising, volunteers, digital, and finance teams. Support the Head of Fundraising with project timelines and logistics. Contribute to annual planning and post-campaign evaluations.

Person Specification



Essential



Experience in charity operations, project management, or fundraising logistics. Strong administrative, financial, and organisational skills. Familiar with compliance standards (safeguarding, GDPR, health & safety). Confident managing multiple priorities under pressure. Proficient in Microsoft/Google Workspace, CRM, and budgeting tools.

Desirable



Experience in event logistics, donor care, or volunteer operations. Understanding of Islamic fundraising and Ramadan campaign cycles. Experience using fundraising CRMs and online donation platforms.

KPIs & Targets



200k+ operationally supported income per year.

100% of fundraising and volunteer events delivered with compliant risk assessments. <5% reconciliation discrepancies on income reporting. 100% safeguarding compliance for all fundraising and volunteer activities. All major campaigns (Ramadan, Qari Tour, Walks, Iftars) operationally supported and delivered on schedule.
